Job Overview

The Executive Assistant to the Chief Operating Officer will play a vital role in supporting the COO and facilitating the Operations Team. This position is responsible for managing timelines, tracking tasks and project completion, organizing documents, overseeing scheduling, and coordinating events. This role will also assist with financial administration, support internal communications, and help with stakeholder relationships.

Essential Functions


  • Task & Project Tracking: Maintain tracking systems for team tasks, timelines, and project schedules, ensuring timely and organized completion
  • Document Management: Organize, maintain, and improve access to essential files, reports, and documents for the COO and Operations Team.
  • Administrative Support: Provide comprehensive support to the COO, including calendar management, coordinating meetings, preparing agendas, and organizing travel.
  • Office Management (Remote Coordination): Schedule and organize virtual meeting rooms or collaborative spaces as required for remote team functions.
  • Meeting Coordination: Prepare meeting agendas, take detailed notes, manage follow-ups, and track action items and deadlines.
  • Event Planning: Coordinate logistics for team events, off-sites, and executive retreats, managing schedules, venues, and itineraries to ensure successful outcomes.
  • Financial Administration: Process expense reports, manage reimbursements, and track budgets for projects and events.
  • Board & Leadership Support: Prepare materials and presentations for board meetings, coordinate logistics, and prepare summaries as needed.
  • Data Management & Reporting: Compile and organize data for monthly, quarterly, and annual reports. Conduct research and gather insights for strategy sessions and presentations.
  • Internal Communications: Draft emails, memos, or announcements on behalf of the executive and facilitate internal communications to keep team members informed.
  • Relationship Management: Build and maintain relationships with key stakeholders, clients, and partners, and act as a representative of the COO in external communications when needed.

Qualifications


  • Experience: At least 3 years of experience as an executive assistant or in a similar support role, ideally within a dynamic, mission-driven environment.
  • Experience: At least 2 years of experience in the field of education in any role preferred
  • Technical Skills: Proficiency in Microsoft Office, Google Workspace, and project management tools.
  • Attention to Detail: Exceptional organizational skills with the ability to manage multiple priorities and maintain accuracy.
  • Interpersonal Skills: Strong verbal and written communication skills with a high level of professionalism.
  • Adaptability: Ability to work independently and proactively respond to changing needs.
  • Confidentiality: Capacity to handle sensitive information with discretion and integrity.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional travel to client or team locations, as needed.
