Job Description
NBCUniversal Advertising Platforms & Operations is responsible for the product development, project management, and day-to-day operations of NBCUniversal's full advertising technology suite. From product management to program management, from sales enablement to sales operations, from product marketing to strategic communications, our division services both internal and external customers in support of NBCUniversal's $10B+ annual advertising business. Together, we're building the platform that powers the future of advertising at NBCU.
We are currently seeking an Executive Assistant to support senior leadership in the Ad Platforms & Operations group. This is an exciting opportunity for an experienced executive assistant looking to further their career in a fast-paced, dynamic environment while also being part of a rapidly growing team.
* Provide professional phone coverage; screen calls and determine through independent judgment those which require immediate attention
* Coordinate travel arrangements
* Schedule and maintain complex executive calendars
* Coordinate and schedule meetings
* When necessary, be the primary point of contact for client or employee catering, delivery and/or pick up
* Process and track expense reimbursements
* Handle sensitive and confidential information with discretion
* Maintain up-to-date and accurate filing system
* Provide phone backup support to other EAs as needed
* Assist with planning and management of special projects such as onboarding new team members, leadership team retreats and off-sites, and other initiatives and events as needed
* Help drive projects and initiatives to nurture team culture (social events, team cadence...)
* Punctual, regular, and consistent attendance
Qualifications
Required Qualifications/Skills
* 2+ years relevant experience supporting senior-level executives
* Exceptional communications skills (verbal and written) and strong interpersonal skills
* Proficient with MS Office (Outlook/Word/Excel/PowerPoint) and MS Teams
* Ability to successfully multi-task and meet deadlines
* Excellent at problem-solving, taking initiative, and being resourceful
* Approachable, friendly demeanor in dealing with executives, employees, vendors, and customers and skilled at developing relationships and working with a variety of personalities
* Strong organizational skills; ability to manage multiple projects simultaneously
* Outstanding professionalism, prioritization, judgment, and accuracy
* Proven integrity and discretion in handling confidential information
* Ability to thrive in a dynamic, fast-paced, deadline-driven media environment
Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
