POSITION SUMMARY

An Accounting Specialist is responsible for assisting in the daily financial operations of a company, supporting the accounting department, and ensuring accurate and timely financial reporting. The role typically requires attention to detail, strong organizational skills, and proficiency in accounting software.

ESSENTIAL RESPONSIBILITIES

  1. General Ledger Management:
  • Maintain and reconcile general ledger accounts.
  • Ensure accuracy of financial data and prepare monthly journal entries.
  • Perform monthly close activities.
  1. Accounts Receivable/Accounts Payable:
  • Process and review billing invoices, ensuring proper coding and approval.
  • Manage outgoing payments and follow up on overdue invoices.
  • Assist in preparing payment schedules and maintaining vendor relationships.
  1. Financial Reporting:
  • Assist in preparing internal financial reports (balance sheets, income statements, etc.).
  • Support the preparation of year-end financial statements and audits.
  • Monitor budgets and ensure adherence to financial controls.
  1. Bank Reconciliation:
  • Perform monthly bank reconciliations.
  • Investigate and resolve discrepancies between bank statements and the company's financial records.
  1. Grant Financial Management:
  • Track, manage, and report on grant funds throughout the life cycle of a grant.
  • Monitor budgets and expenditures, ensuring compliance with grant terms and conditions.
  • Prepare budgets for grant proposals and assist in ensuring that the budget aligns with the objectives and allowable costs.
  • Ensure proper allocation of expenses to the appropriate grant categories (personnel, supplies, travel, etc.).

Audit Support:

  • Assist with internal and external audits by providing necessary documentation.
  • Ensure all financial data is easily accessible and accurate for auditing purposes.
  1. Accounts Analysis:
  • Analyze financial data and provide insights or recommendations to improve efficiency and accuracy in accounting processes.
  • Monitor financial transactions to detect potential errors or inconsistencies.
  1. Administrative Support:
  • Maintain accurate accounting records and filing systems.
  • Provide administrative support to the accounting department.

And other duties as assigned.

WORK HOURS, SCHEDULE & FLEXIBILITY

This position works in office Monday through Friday during standard business.

QUALIFICATIONS

  • Education:
    • A bachelor's degree in accounting, Finance, or a related field is typically required.
  • Experience:
    • 2-5 years of experience in accounting or a related field.
    • Experience with accounting software (e.g., QuickBooks, MIP, Oracle, Microsoft Excel).
  • Skills:
    • Strong knowledge of accounting principles and practices.
    • Excellent attention to detail and accuracy.
    • Strong analytical skills and the ability to solve financial discrepancies.
    • Ability to work independently and as part of a team.
    • Strong written and verbal communication skills.

  • Must be handle all facets of the business both standard and non-standard situations

REQUIREMENTS

  • 2 + years of experience in similar AP/AR role
  • Knowledge of accounting, accounts receivable and accounts payable principles
  • Experience with a purchasing card and corporate card program
  • Knowledge of Microsoft Excel and Word
  • Excellent written and verbal communication skills necessary to work with various vendors and internal customers
  • Strict attention to detail, maintaining high level of accuracy
  • Strong organizational and time management skills, able to meet deadlines
  • Skilled in establishing and maintaining professional and effective relationships
  • Excellent ability to analyze data and identify trends
  • Strong written, verbal, presentation, and communication skills
  • Positive attitude, proactive mentality, responsive, and strong work ethic

Ability to obtain fingerprint clearance and pass a background check
