Position Title: Secretary

Position Summary:

The Secretary provides administrative and clerical support to ensure the smooth operation of daily activities. This role involves managing schedules, maintaining records, coordinating communication, and supporting the team with various administrative tasks.


Key Responsibilities:
  1. Administrative Support:

    • Answer and direct phone calls, emails, and other correspondence.
    • Prepare and distribute memos, reports, and other documents.
    • Maintain and organize office files, both physical and digital.
  2. Scheduling and Coordination:

    • Schedule meetings, appointments, and events.
    • Manage and update calendars for executives or departments.
    • Coordinate travel arrangements, including flights, hotels, and transportation.
  3. Record Keeping and Data Management:

    • Maintain accurate and confidential records of meetings, communications, and other documentation.
    • Update and manage contact lists and databases.
  4. Office Management:

    • Monitor and order office supplies.
    • Ensure the office environment is organized and functional.
    • Liaise with vendors, service providers, and building management as needed.
  5. Other Duties:

    • Assist with special projects and tasks as assigned.
    • Support team members with general administrative needs.

Qualifications:
  • High school diploma or equivalent; an associate’s or bachelor’s degree is a plus.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent organizational and time-management skills.
  • Detail-oriented with the ability to multitask effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Professional demeanor and strong interpersonal skills.
