POSITION: Secretary
REPORTS TO: Building Principal
DATES: Beginning August 19, 2024; 10 hours/day, 4 days per week or in accordance with the school calendar
JOB SUMMARY: This position includes a variety of secretarial duties including answering multi-line phones, processing attendance and discipline records, athletic secretary, meetings with students and staff and additional duties as assigned.
COMPENSATION:
$15.92 - $19.43 hourly depending on experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
Follows and maintains knowledge of all District policy(ies) and procedures.
Performs a variety of administrative tasks, including answering telephones, routing telephone calls or messages to appropriate staff, operating general office machinery, typing, proofreading, filing, sorting, and handling incoming and outgoing mail.
Provides administrative support to the Principal including, but not limited to preparation of presentations, tracking, calendar management, travel and room arrangements, and correspondence.
Completes a high volume of computer work, using District computer programs, to input data with speed and accuracy, including confidential data, in an environment with constant interruptions.
Schedules meetings, conferences, and programs as required including creating schedules, contacting all invited parties, preparing agendas, confirmation, arranging for catering, and distributing materials to all parties.
Ensures that substitute teacher requests are made and completes required paperwork when current teachers are absent.
Assists in budget preparations in a timely manner, as requested.
Tracks students' daily attendance and verifies absences with parents.
Maintains an accurate inventory system and orders supplies for the building.
Prepares and makes bank deposits and completes bookkeeping for ASB, Book Fair, and various fundraisers.
Coordinates building usage/rental calendar and supplies, and tracks keys and key cards.
Assists in coordinating school field trips (scheduling, payment, communication, etc.).
Serves as health room back-up as needed or requested.
Appropriately maintains and secures confidential records and inquiries.
Professionally represents the school and the District in interactions with parents, community, staff, and students.
Formats and completes special projects as assigned.
Maintains appropriate certifications and training hours as required.
Complies with applicable District, state, local, and federal laws, rules, and regulations.
Attends work regularly and is punctual.
ESSENTIAL SKILLS:
Word Processing and Database Skills Required
Ability to learn ODE, Student Management and Financial Software
Prior experience in Office or Program Management is preferred
School office experience is preferred
QUALIFICATIONS

High school diploma or General Education Diploma (GED) and at least one-year related experience in typing, general clerical training, or equivalent combination of education and experience. Ability to accurately enter and retrieve computerized data. Prior successful experience working in a school or office setting strongly preferred.

Ability to communicate fluently writing in English, both verbally and in writing. Ability to respond to common inquiries or complaints from students, parents, staff, regulatory agencies, or members of the community. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to prepare general correspondence.
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
General knowledge of computer usage and ability to use standard school software, internet software, e-mail, spreadsheets, word processing software, and other software programs as determined by the District. Ability to type accurately and proficiently.
Ability to appropriately communicate with students, staff, parents, and members of the community. Ability to multi-task and exercise good judgment while working in a dynamic environment.
Certificates as determined by the District including the ability to obtain a valid First Aid/CPR Card.
