JUDICIAL SECRETARY

San Diego Superior Court is seeking qualified candidates for the position of Judicial Secretary. Candidates who previously applied and qualified under Exam No. 23-003 and were placed on the eligible list must re-apply in order to remain in consideration.
The eligible list resulting from this recruitment will replace the existing list, and may be used to fill current and future Judicial Secretary vacancies as they occur and are approved to be filled. There is one (1) anticipated vacancy in the North County division.
Incumbents may be assigned to any of the court divisions: Central Division, downtown San Diego, Juvenile Court, Kearny Mesa; North County Division in Vista; East County Division in El Cajon; and South County Division in Chula Vista.
JOB SUMMARY
A Judicial Secretary provides confidential secretarial and administrative support to judicial officers within the San Diego Superior Court.
Duties include but are not limited to: taking and transcribing notes and minutes; dictation and transcribing of lengthy telephonic search warrants; composing correspondence; preparing and proofreading, administrative, legal, and other court documents; entering, editing and retrieving data from automated systems and files; preparing reports; responding to inquiries; screening telephone calls and office visitors; opening and distributing mail; scheduling meetings, appointments and speaking engagements; facilitating travel arrangements; establishing and maintaining files, records and statistical information; ordering supplies, books or equipment; and other duties as assigned.
The IDEAL CANDIDATE should have the following:
KNOWLEDGE OF:
Legal procedures and terminology; court rules; business English; record keeping procedures; filing systems; and the use of personal computers and business applications.
SKILL IN:
Typing/word processing at a rate of 50 net words per minute.
ABILITY TO:
Establish and maintain cooperative and effective working relationships with judges, court staff and representatives of justice administration agencies; compose and proofread for accuracy and compliance within requirements; communicate effectively in English, both orally and in writing; maintain confidentiality; and initiate, plan, organize, and complete work assignments with a minimum of supervision.
MINIMUM QUALIFICATIONS
Applicants must have at least three (3) years of full-time legal secretarial or administrative assistant experience, which included preparing and formatting petitions, complaints, pleadings, or similar legal documents.
EXPERIENCE SUBSTITUTION:
Successful completion of a secretarial training program at a community college or accredited business school may substitute for one (1) year of the required experience.
Typing certificate requirement is being waived but a typing assessment may be administered during the interview process. Providing a typing certificate within the last (5) years is highly desirable.
