Summary This position at the full performance level serves as the Secretary to, and reports directly to, the Chief, Mental Health Service (MHS), Southern Arizona VA Health Care System (SAVAHCS). This position is to provide secretarial, reception and clerical support within the Office of, and directly to, the Chief of MHS; may provide some degree of secretarial support to the Assistant Chief of MHS and may accept limited assignments or direction from the Administrative Officer, when necessary. Responsibilities Duties include but are not limited to the following: Coordinate the preparation, data gathering for reports and formal responses to requests for data. Utilize office filing system and VA reference manuals as needed. Develop method/procedure for organizing/maintaining communications, studies, and reports as required. Create/maintain an extensive file system in accordance with clinical policy. Screen visitors and telephone calls for management as required. Determine the nature of telephone call/visitor and take proper action. Receive, review and direct incoming mail as necessary. Compose correspondence for signature insuring correctness, proper format and information copies as required. Possess functional knowledge of word processing programs, spreadsheets and database management programs, electronic mail, electronic calendar scheduling, etc. Transmit, receive, and acknowledge electronic mail and messages as required. Print daily schedules for conference room as required. Utilize office automation to create, copy, edit, e.g., make insertions or move material from one place to another; store; retrieve, and print a variety of standardized documents using glossary of prerecorded formats, form letters, standard paragraphs, and mailing list. Preferred Experience: At least (2) years of administrative/secretarial experience. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/30/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: utilize medical terminology, automation software (examples; medical software and Excel, spreadsheets and databases); and provide receptionist/clerical support work. Physical Requirements: The work is primarily sedentary, requiring frequent sitting, occasional walking, standing, bending, and carrying light items, such as books, papers, and files.
