As a Legal Secretary, your primary responsibility is to support the legal team with various tasks related to law firm operations and client services. You will assist in managing legal documentation, conducting research, and ensuring the smooth operation of corporate legal matters while also addressing client inquiries and needs.
1. Document Preparation and Management:
· Draft, format, proofread, and file legal documents, including motions, subpoenas, contracts, complaints, discovery requests, and briefs.· Prepare and edit correspondence, memoranda, and other legal communications.· Manage court filings and ensure compliance with court requirements and deadlines, including e-filing where applicable.2. Scheduling and Coordination:
· Schedule appointments, meetings, depositions, and court appearances.
· Coordinate travel arrangements for attorneys when necessary.
· Act as a liaison between attorneys, clients, courts, and other parties involved in legal proceedings.
3. Case Management:
· Organize and maintain client files, case records, and case files in both digital and paper formats.

4. Research and Information Gathering:
· Perform basic legal research as requested, gathering statutes, case law, and other relevant information.
· Gather and organize case evidence, records, and other necessary documentation for legal proceedings.
5. Client and Public Interaction:
· Serve as a point of contact for clients, answering inquiries and directing them to appropriate staff when necessary.
· Maintain a professional demeanor when handling sensitive or confidential client information.
6. Administrative Support:
· Handle general administrative duties, including answering phones, taking messages, and managing office mail.
· Assist with billing, timekeeping, and expense reporting as required.
· Other special projects and legal support duties, as assigned
Requirements:- Bachelor’s degree in related field or equivalent work experience.
- Prior experience as a Legal Assistant or in a similar administrative role is preferred.
- Excellent communication and client service skills.
- Proficiency in legal software (e.g., Clio, LexisNexis, Westlaw, Pacer) MS Office suite, and document management systems.
- Attention to detail and ability to manage multiple tasks effectively.
- Understanding of confidentiality and ethical standards in the legal field.
- Familiarity with filing legal documents
- Ability to work collaboratively in a team and independently when necessary.
