POSITION DESCRIPTION

AREA: School Secretary

REPORTS TO: Principal

SUMMARY OF ASSIGNMENT:

Performs a variety of confidential secretarial and clerical responsibilities necessary for an efficient and effective school office. Assists the Principal and school staff in the performance of responsibilities so that a safe learning environment and effective instruction are provided for all students. Openly greet and interact with the public, work cooperatively with staff, students, and parents, and performs other related duties as assigned.

MINIMUM QUALIFICATIONS:
  • Possesses high school diploma or its equivalent.
PREFERRED QUALIFICATIONS:
  • Successful experience working with high school age students.
  • Business training in college or business college.
  • Successful secretarial experience in private or public sector.
  • First Aid/CPR training.
JOB RESPONSIBILITIES (including but not limited to):
  • Demonstrate excellent secretarial skills, including efficient keyboarding skills with minimum errors, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, and telecommunications.
  • Demonstrate the ability to communicate effectively both orally and in writing, using proper grammar and vocabulary.
  • Demonstrates ability to make mathematical calculations with speed and accuracy.
  • Demonstrate appropriate, positive and welcoming telephone etiquette, with proper voice inflection.
  • Exhibit a personality that demonstrates enthusiasm and interpersonal skills to relate well with students, staff, administration, parents, and the community.
  • Give information and interpretations of policies or procedures related to departmental or school activities.
  • Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems.
  • Register new students, secure appropriate student records, maintain confidential student records and transfer records for students moving to other schools.
  • Sort and classify incoming mail and other information for efficient disbursement to appropriate recipients.
  • Prepare letters, memoranda, reports, bulletins, handbooks, questionnaires, requisitions and other materials from marginal notes, rough drafts, verbal instructions or dictating equipment.
  • Ability to handle confidential information with complete security.
  • Gather and prepare appropriate attendance/accounting information.
  • Maintains current school calendar of events on the school website.
  • Conform to District policy regarding attendance and absences.
  • Demonstrates ability to meet deadlines, works under pressure, and is task oriented.
  • Follows and honors state, county, federal and district policies and procedures.
  • Create forms, and compile and organize data and information necessary for the efficient operation of the office, the completion of required district and State data collections. Complete all required monthly and year end reports in a timely fashion.
  • Maintains immunization records in conjunction with County Health Department and files necessary report(s) with State of Montana.
  • Administers first aid to students and contacts parents and emergency assistance agencies in the cases of serious illness or injury.
  • Order and maintain office supplies.
  • Create and maintain a clean, attractive, orderly, safe and efficient office environment.
  • Performs other duties as assigned by administrator.
PHYSICAL DEMANDS:
  • The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.
  • Persons performing service in this position classification will exert up to 50 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.
  • This type of work involves sitting some of the time, but may involve running, walking or standing for brief periods of time.
  • Perceiving the nature of sound, near and far visual acuity, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job.
  • Exposure to hot, cold, wet, icy, humid, or windy conditions caused by weather may occasionally be experienced.

TERMS OF EMPLOYMENT:

Employed for prescribed term, salary, benefits and other working conditions to be determined by District Policy, Federal and State Law as well as appropriate funding from state, federal, and/or passage of levies.

EVALUATION:

Performance of said duties will be evaluated in accordance with provisions of the Board's Policy on Evaluation of Classified Personnel.
