$25/hrPosition Overview:
The Office Assistant is a vital team member responsible for ensuring the smooth day-to-day operations of the office. This role involves administrative support, effective communication, and multitasking to maintain an organized and efficient workplace. The ideal candidate is proactive, detail-oriented, and possesses strong organizational and interpersonal skills. This is a temp-to-perm position.Responsibilities of the Office Assistant:
- Administrative Support: Assist internal teams and external stakeholders with scheduling meetings and events. Manage shared calendars and coordinate travel arrangements.
- Office Management: Maintain office supplies inventory and oversee vendor relationships for equipment maintenance and contracts. Serve as the primary liaison with building management and ensure a tidy, well-maintained office environment. Manage incoming and outgoing mail, packages, and courier services.
- Event Coordination: Plan and execute internal and external events, including team gatherings, Board meetings, and advisory sessions. Coordinate with vendors for catering, venues, and other logistical needs.
- Financial and Legal Coordination: Collaborate with the Finance team to manage the office budget and support expense tracking. Work with the Legal team to assist with patent filings and on-site document storage.
- Recruitment and Communication: Support interview scheduling and related administrative tasks during recruitment. Assist with updates to the company intranet and other internal communication tools.
- Process Improvement: Identify opportunities for enhancing office processes and implement improvements as needed.
Qualifications for the Office Assistant:
- Experience: Minimum 2 - 3 years in an administrative role, with prior office management experience is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite and Outlook. Familiarity with SharePoint is a plus.
- Interpersonal Skills: Strong written and verbal communication abilities, with an engaging and service-oriented approach.
- Problem-Solving: Demonstrated intellectual curiosity, innovation, and creativity in addressing challenges.
- Organizational Ability: Highly detail-oriented and capable of managing multiple time-sensitive projects effectively.
- Collaborative Nature: Ability to build trusting relationships and foster diversity and inclusion across teams.
Education Requirements:
- High school diploma is required.
