Position Summary / Description
The Recruiting Assistant is responsible for providing administrative support to the Professional Resources department in executing processes related to the recruiting and hiring of summer associates for all of offices. A successful candidate will possess strong interpersonal, verbal, written communication, time management, and organizational skills; the ability to exercise sound judgement and professionalism; and the ability to turn concepts and visions into actions while working both independently as well as collaboratively.
Primary Responsibilities
Primarily responsible for supporting all on-campus recruiting efforts and organizing callback interviews
Assist recruiters in organizing logistics; attending recruiting receptions, outreach events, on campus events and summer program social events
Input and continuously update candidate information in the legal recruiting database (viRecruit) and ensure completion and accuracy of all essential information
Generate various summary and pipeline reports as directed using viRecruit
Organize promotional materials for on-campus recruiting events and interviewing materials used by on-campus interviewers
Organize interview schedules and assemble interview materials for candidates
Communicate information related to interviews to lawyer interviewers, travel department, legal recruiting staff, reception staff, and building security
Greet candidates interviewing with the firm when required
Prepare and deliver correspondence to candidates regarding their employment status
Assist recruiters with summer program planning initiatives and social activities
Assist recruiters with diversity initiatives
Open, sort, and distribute department mail
Process check requests and pay invoices for department expenses
Process and track all travel reimbursement expenses from lateral and law student candidates
Arrange logistics for internal and external meetings including sending meeting appointments and preparing meeting materials such as agendas, reports, PowerPoint presentations, etc.
Skills / Abilities
- Strong interpersonal, verbal and written communication skills
- Proficient in Microsoft Office Suite and applicant tracking software
- Conscientious, well organized, detail-oriented, and willing to take appropriate initiative
- Excellent follow up and follow through abilities
- Able to exercise sound judgement
