We are seeking a highly organized and proactive Executive Assistant to support the Pastor in effectively achieving their ministry and business goals. This role is integral in ensuring that administrative and scheduling needs are met with precision, enabling the leader to focus on ministry and organizational objectives.
Responsibilities:
Administrative Support:
Serve as the primary gatekeeper, screening calls, visitors, and appointments to prioritize the Director/Pastor's focus on key matters.
Prepare detailed reports, spreadsheets, and presentations relevant to ministry and organizational activities.
Develop written communications, such as emails, letters, and announcements, as directed.
Manage travel arrangements, including booking flights, cars, and accommodations.
Schedule and Calendar Management:
Maintain and organize the Director/Pastor's calendar to ensure efficient time management.
Facilitate appointments, meetings, and events with internal teams and external stakeholders.
Communication and Coordination:
Act as a liaison between the Director/Pastor and other staff members, pastors, or external parties.
Coordinate timely updates for emails, website content, and church-wide communications.
Assist in planning and executing ministry classes or organizational events.
General Office and Event Support:
Assist with administrative tasks such as processing reimbursements, submitting reports, and managing purchase requests.
Provide support for special church events, including managing kiosks or collaborating with the Hospitality/Kitchen Manager for meal arrangements.
Working hours: 9:00 AM - 5:00 PM

Directly reports to the Director or Pastor.
Collaborates with other pastors, directors, and executive administrative assistants.
Includes special tasks or events for the church as long as the priorities of the immediate supervisor are appropriately considered. This may involve such tasks as managing a kiosk at a speaker's event on weekends or after hours or working with the Hospitality/Kitchen Manager for events involving meals a few times a month.
Education:
High School
Experience:
4-7 years
Qualifications:
High School Diploma
5+ years most current experience as an executive or administrative assistant is required.
Proven ability to work with confidentiality, discretion, and professionalism.
Strong proficiency in computer applications, including Microsoft Word, Excel, and database management systems.
Exceptional organizational and multitasking skills.
Excellent written and verbal communication abilities.
Engaging interpersonal skills and the ability to build positive relationships with staff and congregation members.
