JOB SUMMARY:
We are searching for our next SUPER STAR ! As the Executive Assistant, you will be responsible for reporting directly to the Chief Executive Officer, providing executive support, and serving as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President.

Education: High School Diploma
Experience: Minimum of 3 years of Executive Assistant experience supporting C-level executives, preferably in a non-profit organization.

DUTIES AND RESPONSIBILITIES:
Executive Support
- Responsible for a broad variety of administrative tasks for the Chief Executive Officer including:
- Manage an extremely active calendar of appointments, creating appropriate access to the office.
- Complete expense reports
- Arrange complex and detailed travel plans, itineraries, and agendas.
- Take dictation and compose correspondence, reports, papers, manuscripts, etc.
- Responsible for the organization and maintenance of the Chief Executive Officer and Administrative filing systems.
- Prioritize conflicting needs; handle matters expeditiously, and proactively, and follow through on projects to successful completion, often with deadline pressures.
Board of Directors Support and Liaison
- Prepares and distributes Board and Committee meeting minutes and Board Packets.
- Makes the necessary arrangement for meetings including scheduling, location, and ordering food and refreshments.
- Serve as the Chief Executive Officer's liaison to the CentroMed Board of Directors.
- Assist board members with travel arrangements, lodging and meal planning and expense reimbursement as needed.
- Maintain discretion and confidentiality in relationships with all board members.
- Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Administrative Support
- Schedule and staff administrative meetings including providing notification and distribution of meeting materials and preparing and distributing administrative meeting minutes.
- Participates as an adjunct member of the Executive Team including assisting in scheduling off-site and all-staff meetings and attending meetings as needed.
- Make necessary travel arrangements for administrative staff and prepare necessary travel expenses and registration fees associated with out-of-town meetings.

Requirements
QUALIFICATIONS:
Education: High School Diploma
Experience: Minimum of 3 years of Executive Assistant experience supporting C-level executives, preferably in a non-profit organization.
Other:
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Dropbox.
- Work effectively and efficiently with limited supervision while performing job functions.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Expert-level written and verbal communication skills.
- Highly resourceful team player.
- Be willing to maintain a flexible work schedule.
