Senior Proposal Coordinator

Garver's Transportation Strategic Growth Team is expanding and looking for a Senior Proposal Coordinator within our Southwest Region with strong written and verbal communication skills to support transportation project pursuits in Texas. The Senior Proposal Coordinator will manage and prepare proposals and statement of qualifications, interview presentations, resource materials, and reports. This in-office position will be located within Garver's Midwest Region.

The Senior Proposal Coordinator is a team player is responsible for developing and coordinating proposals for transportation opportunities, writing/editing technical sections, providing creative layouts, and organizing large amounts of information for the pursuit team. The ideal candidate is a detail-oriented individual, with a background in marketing, specifically within the A/E/C industry -a team player who can lead pursuits, communicate effectively, manage multiple concurrent initiatives, and thrive in a deadline-driven environment.

Core responsibilities in this role will be to:

  • Manage the end-to-end pursuit process from initial planning through delivery for all aspects related to the pursuit process, including strategy, proposal storyboarding, outline, schedules, workflow, and graphic resource requirements in the development of the proposal/interview deliverables.
  • Develop proposal messaging (written and visual), write original content, collaborate with graphic designers, and other proposal coordinators when necessary.
  • Work with technical staff to develop strategic win plans.
  • Conduct market research to assist technical staff in identifying and prioritizing clients and key pursuits.
  • Work with technical staff to develop content for statement of qualifications, proposals, and interview presentations.
  • Coordinate and organize large amounts of technical information, including photography, external subconsultant data, and marketing materials.
  • Develop, conceptualize, and collaboratively work with the graphic designers to create visually appealing marketing material.
  • Collaborate with technical staff and graphic designers to develop and complete award submissions for technical associations and trade publications.
  • Work as a collaborative member of the Transportation Marketing Team to track/maintain the central information databases (Deltek and OpenAsset) for use on future projects.
  • Assist the team with interview preparations to develop dynamic client presentations and corresponding materials to win the job!
  • Provide quality/compliance peer reviews on proposal materials.

Basic Requirements
  • Demonstrated excellent interpersonal, verbal, and written/editing skills
  • Proficient in Adobe Creative Suite (particularly InDesign)
  • Proficient user of Microsoft Office, to include Word, Excel, and PowerPoint
  • 8+ years of related AEC Industry experience
  • Ability to independently define, schedule, and manage the proposal preparation process, including the ability to understand and analyze RFQ/RFP requirements
  • Exceptional organizational skills: ability to meet deadlines by prioritizing and managing simultaneous projects with competing demands
  • Previous experience in proposal preparation or large-document management
  • Previous experience working with Texas municipalities and the Texas Department of Transportation (TxDOT) ( Required )
  • Previous experience in management of a customer relationship management (CRM) database, Deltek or sequel ( Preferred )
