MUST HAVES: Strong attention to detail, supporting two executives, booking and managing travel, managing calendars, expense reporting, some office management skills are needed too with a new office in place
TOP 3 SKILLS: Able to work in complex company, ability to learn quickly, adapt quickly, flexibility between two people
Interview: Onsite and virtual interview, meeting with the HM and VP of social responsibility
Summary:
This unique executive assistant role goes beyond the ordinary. You'll support the company's leaders of Government Relations and Corporate Social Responsibility, arrange VIP visits and events, handle Client and lobbying filings, coordinate volunteer activities, and support the company's matching gift program. Plus, you'll be responsible for the day-to-day functioning of our Washington, DC, office.
Keys to Success:
* EA and Office Manager responsibilities include:
* Prepare documents and presentations based on input provided by various team members.
* Arrange and maintain calendars and travel, including high-level government & investor engagements.
* Coordinate high-level meetings and gatherings, including planning and day-of execution of on-site meeting logistics.
* Ensuring our 2,500-square-foot company office runs smoothly.
* Partner with administrative professionals across the company to manage competing needs and deadlines.
* Maintain vendor contracts and purchase orders, organizational charts and document retention adherence
* GR- & CSR-specific responsibilities:
* Take responsibility for critical tasks related to lobbying and Federal Election Commission (FEC) filings.
* Support organizing, preparing for, and completing government VIP visits to company sites and public events at our operations.
* Coordinate VIP volunteer events and company-sponsored community engagement activities
* Support CSR team operations, procedures for philanthropic programs and donations and related financial reconciliations
Education:
* Associate's Degree or equivalent experience.
Experience & Skills
* Demonstrable success as an executive assistant, ideally supporting senior executive(s) at a multinational company and/or in a government relations environment.
* Exhibit a strong sense of integrity and discretion, as you'll be a reflection of the executives and the company.
* Skill to coordinate your own work and that of the executives you're supporting, including effectively managing your own and the executives' time in the face of competing priorities.
* Strong interpersonal, relationship-building and communication skills.
* Ability to anticipate executives' needs based on business objectives.
* Experienced in independently managing and prioritizing multiple concurrent tasks and deadlines.
* Proficiency in workplace computer applications, including PowerPoint, and ability to grow and adapt as new AI tools create opportunities for efficiency.
* Strong problem-solving skills, resourcefulness and reasoning to solve issues.
* Positive and poised outlook in a dynamic team environment where the next need is not always easily anticipated.
Additional Information:
* This is an office-based role, with hybrid flexibility.
* Infrequent domestic travel may be required.
* Ability to work outside regular business hours as needed.
