Elevate leadership impact at Loop in New York

Join Loop as an Executive Assistant and play a pivotal role in driving our Co-founder's productivity. In this role, you will support Maarten, one of our two Co-Founders, based in New York. As you grow into the role and our team in New York expands, you'll later also provide support to 1-2 VPs alongside Maarten.

You'll be an essential member of the wider Business Operations team. You will work in close partnership with the Chief of Staff and the Executive Assistants based in Europe, together ensuring we continue to build and run a seamless, high-performing organisation at Loop.

Your role will involve both day-to-day tasks and strategic support. First and foremost, your mission is to be the driving force that enhances our Co-founder's productivity tenfold, from all angles. You will do that by leveraging his time to stay focused, efficient, and effective. You will be a master at ensuring his time is only spent on the things that will have the greatest impact on our company, our team, and our customers.

Empowering leadership with focus and results

As Executive Assistant, your main mission is to enhance our Co-founder's efficiency, helping him focus on what matters most. You'll manage his calendar with precision, act as the first point of contact for communications, and oversee daily workflows.

By integrating automation and AI tools, you'll bring innovative solutions to routine tasks. Beyond day-to-day responsibilities, you'll help create a vibrant, productive atmosphere in our growing New York office, making it a place where everyone thrives.

Your other responsibilities:
  • Coordinate travel and plan seamless business events with precision and care.
  • Assist in preparing, editing, and proofreading documents to ensure clarity and professionalism.
  • Balance being a gatekeeper and staying accessible to the team, fostering open communication between Executives and teams.
  • Serve as a trusted partner to the co-founder, acting as an advisor and extra set of eyes and ears to provide valuable insights, ensure alignment, and support informed decision-making.
  • Champion the integration of AI tools and automation into daily EA operations, driving efficiency and streamlining workflows.

How you'll succeed as an Executive Assistant

Success in this role starts with a structured mindset and adaptability. You'll bring a positive attitude to dynamic challenges and be a proactive problem solver who thrives on variety. Attention to detail and excellent communication skills are essential, as is your ability to stay calm under pressure. A focus on productivity, automation, and flexibility (with no strict 9-to-5 mentality) will set you apart, as will your expertise with tools like Microsoft Office (rules, filters, tasks) and AI solutions to drive efficiency. Your collaborative spirit and fixer mentality will foster strong connections across teams, and experience with LinkedIn or fluency in Dutch (a nice-to-have) will add even more value. Additionally, you may occasionally assist with managing private schedules and agendas.

These key competences will set you up for success:
  • 3-5 years of experience supporting founders or executives in high-growth, fast-paced and sometimes chaotic environments.
  • Exceptional organizational skills and comfort with ambiguity.
  • Experience arranging travel and managing schedules.
  • Proficiency with LinkedIn and Microsoft Office.
  • Passion for creating a vibrant, organized office where visitors feel welcome, and the growing New York team thrives in a space they love to work.

Loop takes into consideration a wide range of factors that are utilized in making compensation decisions including, but not limited to, experience, skill sets, qualifications, education, and other business and organizational needs. Final salary is based on a number of factors including location, travel, relevant prior experience, or particular skills and expertise. Please note the range listed is just one component of the Company's total rewards package.

Base Salary Range

$98,000-$130,000 USD
