Job Title: Executive Assistant to the CEO

Job Summary: We are seeking a highly organized and proactive individual to join our team as an Executive Assistant to the CEO. In this role, you will provide comprehensive administrative support to our CEO, ensuring smooth and efficient operations at the executive level. You will be responsible for managing the CEO's schedule, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information with utmost discretion. The ideal candidate will have exceptional communication skills, strong attention to detail, and the ability to anticipate needs and proactively address them. This is a fast-paced and dynamic role that requires the ability to multitask, prioritize tasks, and work well under pressure.

Responsibilities:
  • Manage and maintain the CEO's calendar, scheduling appointments, meetings, and travel arrangements efficiently.
  • Coordinate and prepare meeting agendas, presentations, and materials for internal and external meetings.
  • Take meeting minutes, track action items, and follow up on outstanding tasks to ensure timely completion.
  • Conduct research, compile data, and prepare reports and presentations as required.
  • Handle sensitive and confidential information with discretion and maintain the highest level of professionalism.
  • Serve as a liaison between the CEO and internal/external stakeholders, effectively managing communication and relationships.
  • Assist in the preparation and coordination of board meetings, including compiling board packs and organizing logistics.
  • Coordinate special projects and events, ensuring deadlines are met and deliverables are achieved.
  • Maintain a well-organized filing system and electronic database, ensuring easy accessibility to relevant documents.
  • Provide general administrative support, including managing phone calls, emails, and correspondence on behalf of the CEO.

Qualifications:
  • Bachelor's degree in business administration, communications, or a related field (preferred).
  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • The ability to quickly shift priorities once needs change.
  • Strong attention to detail and the ability to maintain accuracy in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to effectively interact with individuals at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with discretion and maintain strict confidentiality.
  • Strong problem-solving skills and the ability to think critically and independently.
  • Professional demeanor, with the ability to exercise sound judgment and make decisions in the CEO's absence.
