Job Details: We are seeking a dynamic and experienced Permanent Executive Assistant to join our Accounting and Finance team. This is an exciting opportunity to play a pivotal role in the smooth operation of our department. The ideal candidate will have a strong background in expenses, brokerage, and law firm environments, with an exceptional ability to manage complex tasks and prioritize competing demands. With a minimum of 5 years' experience, the successful candidate will have a proven track record of providing top-tier support to senior executives and managing sensitive financial information.

Responsibilities: 1. Provide comprehensive administrative support to the executive team, including scheduling meetings, coordinating travel, and managing correspondence. 2. Oversee expense reports, ensuring all items are accurately recorded and allocated to the appropriate cost centers. 3. Act as a liaison between the executive team and other departments, facilitating clear and effective communication. 4. Assist in the preparation and review of financial reports and documents, ensuring all data is accurate and up-to-date. 5. Coordinate with brokers and other external parties, managing contracts and agreements in line with company policies and legal regulations. 6. Support the executive team in strategic planning and decision-making processes, conducting research and providing insightful analysis as needed. 7. Maintain strict confidentiality of sensitive information, upholding the highest standards of professional ethics and integrity. 8. Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment.

Qualifications: 1. A minimum of 5 years' experience as an Executive Assistant, preferably within the Accounting and Finance industry. 2. Prior experience managing expenses and working with brokerage firms is essential. 3. Experience in a law firm environment would be highly advantageous. 4. Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively. 5. Strong communication skills, both written and verbal, with the ability to liaise effectively with all levels of staff and external parties. 6. Proficiency in Microsoft Office Suite, with a particular focus on Excel. 7. High level of accuracy and attention to detail, particularly when handling financial data. 8. Ability to work independently, demonstrating initiative and problem-solving skills. 9. Proven ability to handle sensitive information with discretion and integrity. 10. Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
