Key Responsibilities:
- Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments for senior attorneys and executives.
- Handle correspondence, including emails, phone calls, and drafting professional communications.
- Prepare and edit documents, presentations, and reports with a high degree of accuracy.
- Legal Support:
- Assist with case preparation, including managing documents, filing court documents, and tracking deadlines.
- Liaise with clients, court personnel, and other legal professionals as needed.
- Conduct legal research and organize case materials under the direction of attorneys.
- Project and Event Management:
- Coordinate special projects, events, and conferences, ensuring all logistical details are handled.
- Track project timelines and deliverables, providing updates to leadership as needed.
- Office Operations:
- Maintain filing systems (electronic and physical), ensuring confidentiality and organization of sensitive information.
- Oversee travel arrangements and expense reporting for executives.
- Support human resource tasks, such as onboarding new team members or coordinating training sessions.
- Client and Stakeholder Engagement:
- Serve as the primary point of contact for internal and external stakeholders on behalf of the executive team.
- Foster professional relationships with clients, maintaining a positive and polished demeanor.
Requirements
Qualifications:
Education and Experience:
- Bachelor's degree preferred, or equivalent experience in administrative or legal support roles.
- Minimum 3-5 years of experience as an executive assistant, preferably in a legal or professional services environment.
Skills and Competencies:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with legal software and document management systems (e.g., Clio, NetDocuments, or similar).
- Ability to prioritize and manage multiple tasks with a high level of discretion and confidentiality.
- Professional demeanor with excellent interpersonal skills.
- Bilingual Preferred not Mandatory - English/Spanish
