TITLE: Office Assistant I

DEPARTMENT: Various

REPORTS TO: Various

FLSA: Non-Exempt

SUMMARY:

Performs a variety of complex clerical and technical duties, including keying voter registrations, ballot processing, signature verification, ballot drop box pick up, and ballot preparation, scanning, and tabulation. Position requires regular completion of physical tasks, including lifting, packing, bending, standing, and repetitive movements.

Performs a variety of general, routine clerical and office tasks such as typing, filing, data entry, preparation of standard forms, routine posting and compiling of data; and the sorting and distribution of mail.

DISTINGUISHING CHARACTERISTICS:

Positions assigned to the Office Assistant I classification are distinguished by the requirement for general office skills. Many tasks can typically be learned on the job and require limited problem-solving within clearly defined procedures.

EXAMPLES OF JOB DUTIES: (Any one position may not include all of the duties listed nor do the listed examples include all tasks which may be found in positions of this class.)

Types and distributes standardized forms, correspondence, reports, contracts, memoranda, statistics and schedules by using office equipment such as Microsoft Office, excel, scanner, calculator, photocopier and other standard office equipment.

Uses computer terminal to enter and retrieve information.

Sorts and distributes mail according to general knowledge of department activities and programs; may prepare out-going mail for the department and/or County-wide offices, including bulk and special mailings.

Receives incoming calls on a multi-line telephone and routes calls to appropriate individual or takes messages.

Assists in the preparation of regularly recurring reports; compiles and verifies data from varied sources. May involve basic, routine mathematical calculations and tabulations in accordance with established methods.

Greets and assists the public by phone or in person by providing information of a general nature as authorized from sources such as published directories and procedures, calendars of events and staff schedules; responds to general questions regarding department procedures, policies and processes and assists them when within scope of authority and refers others to appropriate individuals or departments.

Maintains and updates files, records, and logs on computerized and manual record keeping systems; searches files and records for readily identifiable information as directed. Copies documents for distribution to staff and the public.

Maintains an appointment calendar for staff in assigned area and may assist in scheduling of meetings and appointments.

Provides back-up support to other support positions and the office in case of absence or work overload.

Performs other related duties as assigned.

WORKING CONDITIONS:

Work is performed in an office environment.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of office practices, procedures and equipment.

Knowledge of basic math, including the ability to add, subtract, multiply and divide accurately.

Ability to communicate effectively with other employees and the general public using tact, courtesy and good judgment.

Ability to work with accuracy and attention to detail to meet deadlines.

Ability to understand and execute oral and written instructions, policies and procedures.

Ability to operate standard office equipment such as Microsoft Office, scanner, Dictaphone, calculator and photocopier.

Ability to type at level required for specific position with emphasis on accuracy, spelling and grammatical use.

EDUCATION AND WORK EXPERIENCE:

High school diploma, or G.E.D., and one year of general office experience is desirable; or any combination of education and experience which would provide the applicant with the desired skills, knowledge and ability required to perform the job.

LICENSES, CERTIFICATES & OTHER REQUIREMENTS:

Valid Washington State Driver's License.

Valid First Aid Card may be required for some positions.
