Description

Central Valley Indian Health is seeking an experienced, patient-focused Medical Receptionist. This position performs front desk clerical services, including: collects data related to patient services, manages a high volume of phone calls, schedules/ cancels patient appointments, and verifies insurances. The Medical Receptionist is responsible for providing excellent service to our patients and staff, along with maintaining HIPAA Compliance.

PRIMARY RESPONSIBILITIES:
  1. Maintain a positive image of CVIH by greeting clients in a professional manner and see to their comfort and sense of wellbeing during their clinic visit. Inform patients of any changes that could delay their appointment/visit.
  2. Register patients, obtain baseline data necessary for the patient visit and follow-up appointment. Update the medical record with insurance information, an updated copy of insurance, eligibility, HIPAA notice, Health History, and annual consent. Update personal information in electronic medical record, including address, phone number, pharmacy, insurance and community.
  3. Collect co-pays, deductibles, share of cost and sliding fee payments. Records and balances daily cash receipts and properly routes to the Fiscal Department.
  4. Notify patient by mailing letters about their missed appointments and the need to reschedule.
  5. Maintain patient confidentiality according to CVIH standards and protocols.
  6. Responsible for verifying eligibility for PRC, Direct Care, Insurances, and/or Medi-Cal before patient is seen. Copies of any changes in methods of payments must be changed in the electronic medical chart and sent to PRC Clerk and Billing. Insurance card is to be scanned into the electronic medical record.
  7. Check out patients by printing a visit summary and scheduling any needed appointments.
  8. Responsible for cancelling/rescheduling appointments based on provider schedule.
  9. Scan labs, imaging reports, consultation reports, hospital reports and other daily forms from other departments and outside providers into electronic medical records. Documents need to be assigned to the proper staff for review.
  10. Responsible for making sure all documents are scanned into the correct electronic medical record folders based on patient document folders list.
  11. Responsible for checking e-faxing and house faxes to direct documents to the proper staff.
  12. Responsible for daily mail.
  13. Responsible for medical records requests for subpoenas, court orders and/or upon patient request.
  14. Communicate in a friendly and professional manner to others. Provide excellent service/support to all patients, employees, and outside contacts.
  15. Any other duties assigned to the employee by the direct supervisor or CVIH Administration.


Requirements

  1. High School Diploma or equivalent.
  2. Six months experience in a medical office. Medical Administration or other relevant certificate preferred.
  3. Proficiency with the Microsoft Suite, typing, and medical terminology.
  4. Proficiency with, or the ability to quickly learn, EHR systems.
  5. Knowledge of health insurance plans with the ability to navigate web portals.
  6. A valid California Driver's License and clean driving record with the ability to be insured under CVIH's automobile insurance.
  7. Requires and awareness and keen appreciation of Indian traditions, customs and socioeconomic needs. Ability to meet and deal effectively with Indian health organizations consisting of numerous tribes with varied cultures. Tact, courtesy, discretion, resourcefulness, and good judgment in handling functions of a sensitive nature.
  8. "Safety Sensitive" positions are subject to random drug testing and are required as a condition of continued employment.
