Requirements & skills required for the Roscoe Brown Tullahoma Office Operations Assistant – (included, but not limited to):
  • Convert incoming customer service calls into booked service appointments.
  • Excellent customer service skills with Roscoe Brown staff and customers.
  • Attention to detail with customers and office staff.  
  • Relay accurate information to technicians to ensure a proficient and quality customer experience.
  • Professional behavior that establishes customer rapport, encouraging repeat business.
  • Respond to customer requests, resolve issues, and promote the brand.
  • Collect and confirm customer information when setting up service and billing accounts.
  • Create jobs, work orders, and assign products to track serial numbers on equipment installations and other jobs.
  • Register equipment warranties on behalf of the customer with the manufacturer.
  • Create the invoice (billing) for jobs once complete to include model and serial number and applicable warranty of the equipment.  Ensure invoices are mailed to the correct billing address.
  • Record job costs based on material worksheets provided by the installers and record applicable reserves and supplies expense.
  • Coordinate the submittal of financing documents with TVA, Wells Fargo Greensky and Good Leap, and follow up to ensure payment is received.
  • Order parts and stay in contact with customers about their parts order.
  • Call customers and schedule parts to be installed.
  •  File all parts warranties.
  • Conduct Over-The-Counter Sales for parts and filters.  Pull applicable parts and filters from stock, determine the retail price, and complete the sale.
  • Reconcile monthly Accounts Payable statements.
  • Ensure maintenance customers are called and taken care of daily.
