We have a long-term administrative assistant substitute need in our Lower School. This position would begin ASAP and continue through May 2025 . This position would continue to be an adjunct, non-benefited role , but would temporarily assume full-time hours, 7:45 am - 3:45 pm Monday - Friday . SUMMARY Serves as general office assistant for Lower School Associate Directors, performing various clerical duties. The employee must be familiar with daily functions, policies, and practices of the Lower School. The employee must be able to maintain uncompromised confidentiality. ESSENTIAL FUNCTIONS Actively supports and acts in accordance with the school's mission and values. Drafts and sends the school's weekly e-newsletter Assist parents, students, visitors, and teachers who come to the office with questions. Responsible for maintaining general order and organization in the Lower School Administrative Office area including such tasks as ordering paper, maintaining supplies, upkeep of general appearance of the office, communicating with RICOH regarding office machines, etc. Assist with label requests and PowerSchool queries. Create and maintain various data input as needed in the form of Excel spreadsheets, databases, reports and word processed documents. Create Google Forms for student, parent, and teacher functions. Execute occasional Lower School meal functions for faculty and staff. Receive phone calls for teachers, directors and other areas if needed during lunch and afternoon coverage. Assist with front desk coverage as needed. Create Kindergarten Graduation printed program. Assist with keeping LS Enrollment and Class Lists current and distribute to teachers, staff and/or parents as needed. Assist with creating and mailing Honor Roll Certificates and President's List Letters to students each quarter, prepare cumulative list for the President noting student name and quarter(s) in which the President's List has been achieved. Manage LS Lost & Found, coordinate monthly events to facilitate the return of items to students and parents and the donation of unclaimed items. Other projects, duties, and responsibilities that are assigned. KNOWLEDGE, SKILLS, AND ABILITIES Excellent verbal and written communication Utilize critical thinking and problem-solving skills Excellent interpersonal and customer service skills: welcoming, greeting, directing, questioning. Excellent telephone skills: speaking with parents about absences/tardies. Proficient computer skills: basic computer fluency, readiness to learn innovative programs such as PowerSchool and FinalSite, and must have a working knowledge of Word, Excel, Google Workspace, and Apple technology. Ability to work independently and to carry out assignments to completion. Excellent organizational skills and attention to detail. Ability to work well with others and to assist the public cooperatively and courteously. Work collaboratively with others in a complex setting. QUALIFICATIONS Previous experience in an office or school setting This is an adjunct, non-benefited role.
