Posting Number Advertised Title Administrative Assistant Campus Location Main Campus (Memphis, TN) Position Number n/a Category Temporary Employees Department School of Public Health Position Summary The School of Public Health at the University of Memphis is seeking a part-time Administrative Assistant to support a range of administrative functions. This individual will play a critical role in assisting faculty, staff, students, and division-level activities. The ideal candidate will be organized, detail-oriented, and able to manage multiple responsibilities efficiently and with a positive attitude. This position offers an excellent opportunity to gain experience in an academic environment and contribute to public health education and research. Expected to work 15-20 hours per week. Primary Responsibilities: Coordinates and manages logistical arrangements for division events, including colloquiums, retreats, and meetings. Coordinates pre- and post-event activities, including venue setup, catering, material preparation, and ensuring proper audio-visual functionality. Prepares and distributes agendas, handouts, and other relevant materials for division-related meetings. Orders and manages office supplies and fulfill supply requests for faculty. Coordinates travel-related services, including booking travel and accommodations, and processing pre-authorizations and reimbursements. Supports students with conference travel logistics, including coordinating travel authorization and assisting with travel reimbursement requests. Assists faculty with teaching and research-related requests such as making copies and arranging poster printing. Minimum Position Qualifications Associate degree or higher is preferred, along with previous experience in an administrative support role, ideally in an academic setting. Special Conditions Knowledge, Skills and Abilities Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Strong organizational skills and attention to detail Ability to multitask, work in a fast paced environment, prioritize tasks, follow through, and meet deadlines Knowledge of travel booking and reimbursement processes is a plus Excellent verbal and written communication skills Ability to work with a diverse population Exercises discretion and maintains confidentiality of information Posting Date 12/10/2024 Closing Date Open Until Screening Begins No Hiring Range $18.00 - $20.00 per hour Full-Time/Part-Time Part-Time: Benefits Ineligible Special Instructions to Applicants All applications must be submitted online at workforum.memphis.edu.
