Job Description The Administrative Assistant provides administrative support services for one or more individuals, a department or a division. Assists supervisor in routine personnel, budget and other operational details. Typically reports to a manager, director or division head. Responsibilities Serves as an intermediary between supervisor and other departmental staff by transmitting written and oral requests, messages and instructions. Heavy management of calendar schedules and coordinate meetings. Heavy coordination of travel arrangements and accommodations. Prepares travel reimbursements and expense reports. Assists in the planning and logistical coordination of meetings and office activities, forums and conferences, including coordination of any catering needs. May review and revise brochures, announcements or other informational items regarding program and/or departmental operations. Drafts, edits and formats materials such as flyers, leaflets and letters. May prepare minutes of meetings, agendas, correspondence, statistical reports, tables and other documents as needed. Prepares and follows up on purchase orders, change orders, check requests and petty cash vouchers. May assist with maintaining postdoc human resources e-files for upload. May assist in processing payroll and/or maintaining the PTO system for the department. May assist with on boarding international visiting student researchers and volunteers. Performs other related duties. Qualifications Education: Associates Degree in Secretarial Science or related field, or HS/GED plus two years of related experience. Bachelor's Degree preferred. Experience: 2-3 years administrative or medical office experience required, ideally in an academic or research environment, is a plus. Technical Skills: Expertise in organizational and communication software (e.g., Google Workspace, Microsoft Office, Slack, Trello). Communication Skills: Exceptional written and verbal communication abilities. Proven ability to manage multiple tasks and prioritize effectively. Detail-oriented, with strong problem-solving and time-management skills.
