EEO/AA Job Summary The Administrative Assistant, Title V Program reports directly to the Project Director and the Director of Excelencia Center. The Administrative Assistant, Title V Program provides support services and activities related to the Title V grant. This position is responsible for maintaining office supplies, assisting with requisitions, travel, receiving reports, supply ordering, student worker's timesheets and occasional correspondence. This is a part time position (30 hours a week). This position is funded by a 5-year grant. The Administrative Assistant must work independently without supervision; demonstrate sensitivity to the needs of students from diverse backgrounds; workwith students, faculty and staff in a professional manner; andestablish effective working relationships with others. While performing the duties of this job, the employee is regularly required to stand, walk, talk, and hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch or crawl. The employee must regularly carry up to 25 pounds and lift up to 25 pounds. Frequent local travel. Minimum Qualifications Associate degree or higher from a regionally accredited postsecondary institution. Experience working in a K-12 or a higher education setting. (Experience may be substituted for education.) Must be skilled in the use of a personal computer and related technology, including Microsoft Office. Evidence of superior organizational skills. Excellent oral and written communication skills. Preferred Qualifications Bilingual in English and Spanish. Advanced knowledge of Microsoft Word and Excel. SALARY $24,000 Work Hours 30 hours per week Essential Job Functions Essential Job Functions Complete general office tasks including but not limited to greeting visitors, answering phone calls, responding to department emails, distributing office mail in a timely manner. Essential Job Functions Assist with special requests; assist students and the general public. Essential Job Functions Prepare and assist with requisitions and receiving reports as needed. Essential Job Functions Process hiring documents for student assistants, process payroll and one-time payments for student assistants and hourly employees. Essential Job Functions Monitor and track budgets; maintain departmental budget spreadsheets. Essential Job Functions Manage travel requests and other out of office activities and complete the associated documents for the supervisor. Essential Job Functions Maintain a schedule of events in the Ruby Fuller Building. Schedule bi-weekly staff meetings, prepares agendas, takes minutes and submit minutes to staff and President in a timely manner. Essential Job Functions Work with Title V staff to stay current with student success events, resources and activities. Essential Job Functions Meet regularly with the Project Director and Director of Excelencia Center to discuss grant goals/objectives. Essential Job Functions Perform other appropriate duties, related to Title V grant. Essential Job Functions Comply with all campus policies and procedures.
