Description
Role (Overview of the Position)
Requires solid computer and research skills, flexibility, excellent interpersonal abilities, and project coordination experience.
Provide high-level administrative support and have the ability to work well with all levels of internal management and staff, outside clients, and vendors.
Sensitivity to confidential information is also required.
Responsibilities
Responsibilities (Tasks Associated with the Role) •Maintain Calendar and Scheduling for CEO - Gatekeeper •Manage Email Inbox for the CEO •Drive process creation for key CEO / EA processes •Lead Special Projects up to date on what each project needs •Helping CEO Prepare for Meetings/Podcast and videos •Proactively Evaluate and Manage the needs of the CEO •Manage Travel that makes it low resistance and lightweight for the CEO •Office Management - manage cleaning service, organize and distribute mail, sort •company mail - follow-up as needed, and other things that arise in office management •Other Duties Lined out as needed by the CEO •Helping the CEO stay on his important habits and tasks •Ensuring the CEO is working on the most important priorities at all times w/ a clear schedule to accomplish them. •Helping CEO identify opportunities to delegate things to other team members proactively Accompany CEO on key meetings and occasionally be in place of CEO on meetings •And other responsibilities as needed •Bookkeeping record of daily expenses to stay on track with CPA
Results (Expected Accomplishments) •Keeping a seamless and organized schedule for the CEO •Maintain 24 24-hour response time or less for all emails asking for CEO's reply •Ensure 100% of meetings on the CEO's schedule have agendas (Outcome, Agenda, •Output, who is on call, etc.) •Strive for 100% no conflicts on the calendar and all resolved at least 48 hours prior (including personal events) •Ensure consistent cadence for weekly communication •Ensure at least 1x date night with the Wife •Work to get me unplugged after 6:30 PM •Manage schedules including itineraries, travel arrangements, and team meetings •Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive •Be the main point of contact for high-level executive •Perform office management duties such as organizing filing systems and ordering office equipment and supplies •Perform basic bookkeeping duties
Qualifications
Requirements (Expected Proficiencies) •Great at working with a team •Experience supporting a high-level executive with multiple businesses. •Possession of exceptional organizational skills and a strong attention to detail. be familiar with the Bookkeeping process to help him stay on track with CPA reports •Able to maintain a high degree of confidentiality in all situations •Ability to organize a priority-based daily workload •Able to meet deadlines in a fast-paced, quickly changing environment •A proactive approach to problem-solving with strong decision-making skills •Strong organizational skills, communication skills, time management skills, and interpersonal skills •At least 2+ years of experience as an executive assistant, or experience performing supportive duties •Accustomed to working on strict deadlines and handling confidential information •High school diploma or G.E.D. required •Must be comfortable using Microsoft Office
