This Executive Personal Assistant role is more than just an administrative position—it’s an opportunity to be the right hand of a highly driven individual managing multiple businesses, including real estate, property management, and personal ventures. Your mission will be to bring order to chaos, help balance professional and personal responsibilities, and ensure the business owner can operate at their best in every aspect of life.


Compensation

  • Salary: $55,000–$65,000

Compensation:

$55,000 – $65,000 yearly

Responsibilities:

You’ll take ownership of tasks that go far beyond simple delegation, allowing the business owner to focus on appointments, closings, and their big-picture goals. Responsibilities include but are not limited to:


Core Focus: Appointments and Closings

  • Proactively manage and prioritize the executive’s calendar, ensuring seamless scheduling of appointments and closings.
  • Coordinate all aspects of real estate transactions, including preparing documentation, communicating with clients, and ensuring a smooth closing process.

Ownership and Initiative

  • Take ownership of projects and tasks, identifying priorities and anticipating the executive’s needs.
  • Strategically guide the client’s daily workflow, ensuring alignment with their professional and personal goals.

Personal and Professional Support

  • Handle personal and administrative tasks, including errands, scheduling family appointments, and managing household-related tasks.
  • Support the executive’s commitment to family life by managing time effectively to enable work-life balance.

Flexibility Across Multiple Businesses

  • Assist with managing the executive’s portfolio of 21 rental properties, including coordination of maintenance, tenant communication, and financial tracking.
  • Provide administrative and operational support for new business ventures.

Critical Thinking and Problem-Solving

  • Address challenges with creative solutions and think outside the box to ensure smooth operations.
  • Develop systems and processes to increase efficiency and manage multiple priorities effectively.

Strategic and Long-Term Collaboration

  • Partner with the executive to build and execute a broader vision for professional growth and personal fulfillment.
  • Act as a trusted confidant and integral member of the executive’s extended team.
Qualifications:
  • At least 2+ years of experience supporting an executive or entrepreneur at a high level.
  • Strong organizational and time management skills.
  • A proactive mindset with the ability to anticipate needs and prioritize effectively.
  • Experience in real estate or property management is a plus but not required.
  • Highly assertive, organized, and a self-starter.
  • Possess excellent problem-solving and critical-thinking skills.
  • Thrive in a fast-paced, dynamic environment requiring adaptability and flexibility.
  • Exhibit a high level of professionalism and confidentiality.
  • Have strong communication skills, both written and verbal.
  • Take ownership of tasks and initiatives, bringing creativity and independence to the role.
  • Be detail-oriented and capable of managing multiple projects simultaneously.
  • Be tech-savvy, familiar with office applications and tools, and quick to learn new systems
