Position Summary: The IRONMAN Foundation creates positive, tangible change in race communities by engaging athletes and volunteers to participate in programs that demonstrate service through sport and commitment to community. Since 2003, over $60,000,000 has been provided through IRONMAN's charitable giveback programs to more than 10,000 local regional, national, and global nonprofit initiatives. Through these partnerships, IRONMAN, Rock 'n' Roll Running Series, and UTMB athletes are powerfully linked to the community and together we leave the IRONMAN legacy behind in our race communities long after race day. The IRONMAN Foundation is seeking an enthusiastic Administrative Coordinator to support the oversee the day-to-day administrative responsibilities and ensure that the IRONMAN Foundation staff and organization remains efficient and effective in achieving the mission of the IRONMAN Foundation. The ideal candidate for this role possesses strong organizational skills, creativity, teamwork, and problem-solving skills. This role champions dynamic individuals who can prioritize and work on multiple projects simultaneously. Responsibilities: Development Department Support: Weekly & monthly reporting across all Peer-to-Peer Fundraising, Special Events and Donor Stewardship Weekly onboarding communication with IMF Executive Director and Operations Director Race Team Members & providing support to the Ambassador Team alongside the Development Manager Donor Stewardship monthly mailings & reporting Partnership Tracking & Reporting support Special Events administrative reporting, support & in-person activation Assist with IRONMAN Foundation Athlete support including race registration, hotel and lodging accommodations, and more. Operations Department Support: Assist with scheduling, preparing meeting agendas, distributing communications and materials, and more for Board of Directors meetings. Special Events On Site Support Keep offices organized and ensure that daily tasks are completed efficiently. Administrative assistants order office supplies and maintain supplies inventory. Maintain accurate records to help the organization run smoothly and comply with regulations. (Assisting with Clearly Compliant, CLA, etc.) Manage business mail, including sorting and distributing incoming mail to the appropriate employees. - Coordinate and process shipments, including creating shipping labels and tracking deliveries. Manage and maintain shipping documentation, records, and files. Communicate with carriers, suppliers, and internal teams to ensure on-time deliveries. Assist with accounting services including completion of weekly bank deposits, donation records, and Executive Director expense reports Requirements: Preferred Qualifications: Exceptional communication skills across multiple environments and with diverse audiences; intense multitasking, prioritization, and decision-making abilities. Excellent strategic and analytical thinking capability Strong attention to detail Superior time management and prioritization skills A passion for endurance sports and an active lifestyle is a plus Working knowledge of full Microsoft Suite, Canva, Constant Contact, Virtuous CRM Based out of Tampa, FL Required to be in Tampa offices three (3) days a week - Reliable transportation required.
