Overview of Function: We are seeking an experienced Executive Assistant and Manager to support partners and to manage our administrative staff in their regional offices. This dual role involves overseeing an administrative staff of ~10-12 executive assistants and front office staff. The role will also include direct EA support for 2-4 Managing Directors. The ideal candidate will be highly organized, detail-oriented, able to operate independently with confidence and capable of handling multiple responsibilities in a fast-paced environment. Responsibilities: Management Responsibilities: Source, hire and train the administrative team for the region. Oversee and develop regional team of executive assistants and front office administrators (~10-12 individuals). Maintain coverage for the region: Hybrid schedule with daily in-office support. Allocate support for vacation, sick time and reception lunch coverage. Solicit feedback for regional administrative team development. Organize and coordinate reviews for the administrative team in your region. Ensure that all offices are stocked and in order by directing the office facilitator. Monitor and project staff needs and identify opportunities for the future. Work directly under the Senior Administrative Manager to ensure training and staffing. EA Responsibilities: Provide right arm support to 2-4 Managing Directors. Serve as gatekeeper for executive’s calendar and time/space in the office. Prioritize conflicting needs and proactively follow up, often under tight deadlines. Extensive travel management. Coordination of all expense reporting. Maintain a system for recording expenses, which will streamline the submission of weekly expense reports utilizing Concur expense reporting system. Manage documents needed for various meetings and decisions. Triage constant flow of requests and provide Managing Director(s) with organized sight into upcoming meetings, deadlines and needs. Assess the urgency of situations and determine appropriate actions, monitor status of pending items, provide follow up and keep management informed by communicating a wide variety of information. Own and maintain key client activities within Sales Force. Perform ad hoc administrative work and projects as needed. Requirements: Management experience with a proven track record of successfully leading a team of 5+ individuals. 7+ years of administrative experience supporting senior executives in professional services (ex. Consulting, Legal, etc.) experience in a fast-paced, dynamic environment. Ability to maintain confidentiality and discretion. Travel to other office once per quarter or when needed. Excellent communication skills, both oral and written. Interest and ability to work independently and be self-directed, including directly with sector and practice leaders. Strong organizational skills, attention to detail and ability to balance multiple projects at the same time. Understanding of knowledge management and intellectual property concepts. Highly flexible team player with demonstrated professional maturity to readily prioritize and anticipate needs. Responsive and proactive with the ability to work well under tight deadlines and respond to rapidly changing demands. Strong organizational and analytical skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Ability to work with minimal supervision and maintain a high standard of confidentiality. Highly proficient technical skills including Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint, etc.). Knowledge of Concur. Act as point of contact for external and internal requests, including meeting and greeting when necessary. Maintain a system for recording expenses, which will streamline the submission of monthly expense reports utilizing Concur expense reporting system. In California and New York, the base salary is between $95,000 - $125,000 (USD); placement within this range will vary based on experience and skill level. L.E.K. also offers a performance bonus, profit sharing and other benefits. In other locations, competitive pay is commensurate with the role and geography.
