POSITION PURPOSE As the Virtual Fundraising & Events Associate, you hold a pivotal role in developing, executing, assessing, and refining our peer-to-peer, virtual food drive and third-party event fundraising initiatives. Additionally, you will collaborate with the Events Manager to coordinate various special events, notably our annual gala and golf tournament generating over $1M annually. Central to this role is the cultivation of relationships, encouraging deeper engagement, and rallying support from individuals. Emphasizing peer-to-peer, virtual food drives and third-party event fundraising avenues, you'll actively leverage these channels to attract new donors and construct a sustainable pipeline for ongoing support for the Food Bank. Flexibility is key, as the role demands occasional weeknight and weekend hours, along with mandatory attendance at both on-site and off-site events.

PRIMARY RESPONSIBILITIES The duties listed below are intended only as illustrations of the various types of work that may be performed. Assist the Events Manager with all event planning and execution: pre-event, onsite and post-event including negotiating with vendors for competitive pricing and favorable terms, creating floor plans, making inventory for event supplies, updating timelines, tracking expenses and preparing event briefings. Assist the Events Manager with reviewing contracts, ensuring compliance with city guidelines, event facility requirements, and Food Bank policies; collaborate with third party event hosts to ensure adherence to all terms and conditions outlined in agreements. As requested by the Events Manager, meet with event organizing committees to plan the scope and format of events, solicit in-kind and monetary donations, and assist with efforts to promote events. Develop and implement event volunteer recruitment, training, and scheduling plans, including creating role descriptions, training materials, and facilitating training sessions for volunteers and staff leads. Facilitate pipeline development for integrating peer-to-peer, virtual, and third-party event participants into the individual giving program while managing relationships and providing consistent, year-round stewardship. Effectively utilize peer-to-peer and event management platforms including Greater Giving, Blackbaud RENXT, and Fundraise Up. Create RSVP forms for events and ensuring accurate data collection of guest names and contact information to enhance strategic outreach within the individual giving pipeline. Collaborate with the Digital Marketing and Communications team to produce on-brand event collateral, including signage, email campaigns, and webpage updates, ensuring consistent messaging across all communications related to Food Bank events and virtual food drives. Provide exceptional customer service to event participants, donors, sponsors, and stakeholders by addressing inquiries promptly, resolving issues effectively, and fostering positive relationships to enhance engagement and support for organizational goals. Other duties as assigned. IDEAL CANDIDATE The ideal candidate for the Virtual Fundraising & Events Associate role is a dynamic and results-driven nonprofit professional with a proven track record in fundraising, event management, and volunteer coordination. This individual demonstrates strategic acumen in developing, executing, and enhancing peer-to-peer and virtual fundraising programs, while excelling in building relationships and driving engagement across diverse audiences. With strong multitasking abilities, adept project management skills, and a collaborative mindset, they thrive in fast-paced environments. Proficient in utilizing digital platforms, third-party fundraising channels, and negotiation skills, they will be a key contributor in advancing the Food Bank’s mission, achieving impactful initiatives, and fostering community engagement.

EDUCATION, TRAINING and EXPERIENCE Associate’s degree in communications, Marketing, Nonprofit Management, Event Management, Hospitality Management, Public Relations, Business Administration, Social Impact, or Community Engagement required, bachelor’s degree preferred. 2 - 3 years demonstrated experience in fundraising, event planning, or a similar role within a nonprofit or relevant industry. Experience in developing and executing fundraising strategies, specifically in peer-to-peer and virtual fundraising initiatives preferred. Proficiency in utilizing digital platforms and fundraising software for campaign management, donor engagement and volunteer management. Experience managing volunteers a plus, including creating schedules, setting clear expectations, and providing leadership on the day of events to ensure smooth operations, effective coordination, and the timely resolution of any issues. Adept at working with cross-functional teams and collaborating with internal and external stakeholders. Experience soliciting in-kind and monetary donations desired.

SKILLS, KNOWLEDGE & ABILITIES Knowledge of: Office administrative and management practices and procedures. Excellent written and verbal communication skills including correct English syntax, spelling, grammar, and punctuation. Intermediate proficiency in word processing, computer equipment, donor software, and data processing principles, including Microsoft Office Suite (especially Excel and Outlook), Blackbaud, and Adobe Acrobat. Working knowledge of Canva is a plus. Experience with project and event management software, with knowledge of Click Up, Fundraise Up, and Greater Giving preferred. Special events include silent & live auctions, dinners, private and large scale-events. Experience with donor stewardship nonprofit special events such as galas, golf tournaments, and donor appreciation events. Intermediate proficiency in computer and hard file record keeping and filing procedures. Ability to: Exercise confidentiality in dealing with sensitive financial matters. Work efficiently in a fast-paced environment. Perform highly detailed work on multiple, concurrent tasks with constant interruptions and work under demanding deadlines. Speak securely and confidently in front of public groups, small and large. Type accurately at a speed necessary to meet the requirements of the position. Organize, set priorities, and exercise sound independent judgment with areas of responsibility. Work independently with minimal direction. Professionally interact with volunteers and donors. Speak Spanish or other second language a plus. Organize, research, and maintain complex and extensive office files. Communicate clearly and effectively both orally and in writing. Prepare clear, accurate, and concise records and reports. Use discretion and diplomacy in dealing with sensitive situations and individuals. Establish and maintain effective working relationships with staff, volunteers, and others encountered in the course of the work. LICENSES, CERTIFICATES, SPECIAL REQUIREMENTS A valid California Driver’s License. Must have own vehicle and will be reimbursed for mileage.

COMPENSATION This is a full-time, non-exempt/hourly/benefited position. A market-level competitive salary is between $26.00 - $30.00 per hour based on experience. The compensation package includes a competitive salary and an excellent benefits package including: 403(b) plan with 200% employer matching; excellent health care coverage with free employee medical, dental and vision plans; company paid term life insurance; and a generous accrual of paid vacation and sick leave.

WORK SCHEDULE Monday – Friday; 8:00 a.m. – 4:30 p.m. This position occasionally requires overtime and weekend shifts. This position is required to travel 25% of the time; travel is primarily local during business days.
