We are seeking a Sr. Administrative Assistant to join our team located in INDIANAPOLIS, Indiana. This role offers a contract to permanent employment opportunity. As a Sr. Administrative Assistant, you will be performing a variety of administrative tasks, including managing calendars, organizing office operations, and providing support to our administrative team.


Responsibilities:


• Assisting with the operations of the office, including maintaining office supplies and ensuring the smooth operation of printing and other equipment

• Greeting guests warmly while ensuring office security through adherence to safety procedures

• Assisting staff with travel arrangements and expense submissions

• Providing support for scanning, copying, and printing tasks, as well as organizing and maintaining office files, electronic documents, logs, and other reports

• Providing administrative support to senior leadership, managing schedules and calendars, and tracking ongoing commitments and upcoming deadlines

• Supporting business leaders with reports on utilization, business development, and fleet management

• Assisting project teams by creating, reviewing, and finalizing deliverables, including memos, letters, correspondence, meeting minutes, submittal packages, qualification packages, proposals, and reports using Microsoft Word, Excel, and PowerPoint

• Assisting the administrative team and project managers with archiving project records

• Supporting the Office Safety and Environmental Coordinator with the administration of day-to-day safety activities, and distributing of Health, Safety, Security, and Environment Program documents.

• Proficiency in CRM software to manage and analyze customer interactions and data
• Proven experience in Calendar Management, adept at scheduling meetings, appointments, and travel arrangements
• Exceptional Communication skills, both written and verbal, to liaise effectively with clients and team members
• Experience in coordinating and handling Conference Calls, including setting up, troubleshooting, and following up on meetings.
