Under the general supervision of the Chief Operating Officer, the Administrative Assistant performs administrative duties that support the clinical and business operations of the medical practice ensuring services are provided in a professional, timely, & courteous manner. The Administrative Assistant serves as the primary point of contact for all internal and external matters pertaining to their assigned provider. The Administrative Assistant must have strong written and verbal communication, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant performs his/her duties in accordance with federal and state laws and regulations governing the privacy and security of patients' PHI (Private Health Information).


Key Responsibilities:

Scheduling & Schedule Management

  • Schedules patient appointments as requested
  • Schedules and coordinates meetings for assigned physician
  • Maintains, monitors and manages physician's office, hospital/surgical and vacation schedules

Telephone

  • Answers telephone in accordance with office protocol
  • Triage phone calls to the appropriate individuals or departments
  • Take messages and routes to the appropriate individual or department
  • Retrieves and responds to voice mail messages in a timely manner
  • Handles patient complaints

Records Management

  • Prepares correspondence (memos, reports, letters etc.) as directed by physicians and administration
  • Mails or faxes requests for information
  • Maintains patient confidentiality
  • Files all correspondence and records
  • Maintains the physician's professional file (medical license, DEA, etc.)

Qualifications:

  • Bachelor's degree preferred; Prior healthcare experience required
  • A minimum of five years of experience as an administrative assistant in a healthcare setting
  • Excellent computer skills: including Microsoft Office; Electronic Medical Records
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
