Responsibilities as the Administrative Assistant As the Administrative Assistant, you will play a pivotal role in ensuring that our organization's daily operations run seamlessly. Your core responsibilities will include:
- Client Interaction and Communication: Effectively communicate to build trust and maintain professionalism with both external clients and internal colleagues, creating a positive experience for everyone involved.
- Documentation and Administrative Management: Manage important documents, data, and correspondence with accuracy and confidentiality, ensuring smooth information flow and regulatory compliance.
- Scheduling and Event Coordination: Manage calendars, appointments, and events, coordinating logistics and ensuring materials are ready for meetings, webinars, and classes.
- Team Support: Support the entire team by anticipating potential challenges, offering proactive solutions, and contributing to smoother workflows and stronger team collaboration.
- Efficiency & Productivity: Complete tasks within assigned deadlines, manage time effectively to prioritize tasks, and maintain high accuracy in data entry and document preparation with minimal errors.
- Communication & Collaboration: Respond promptly to inquiries and requests from colleagues, clients, and management, communicate clearly and professionally in both verbal and written formats, and contribute to a positive team environment.
- High School Diploma or GED required.
- Previous administrative experience is a plus.
- Proficient in Microsoft Office Suite, especially Excel.
- Excellent verbal and communication skills.
- Exceptional attention to detail and organizational skills.
- Ability to manage sensitive and confidential information professionally.
- Team player with the ability to collaborate with others and work independently.
- Appointment setting experience preferred.
- CRM experience preferred.
