QUALIFICATION REQUIREMENTS
An Administrative Assistant within QISG is involved in a variety of projects that requires a proactive and resourceful individual who excels in multitasking and has a strong commitment to professionalism. We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a pivotal role in ensuring smooth day-to-day operations by providing exceptional administrative support.
Key Responsibilities
- Maintain office supplies inventory, ensure a clean and organized workspace
- Receive, record, and distribute all packages and mail daily
- Ensure café areas and cabinets are well-stocked by running errands to purchase necessary items and restocking as needed
- Assist with catering needs for meetings within and outside of the office, including set up and cleanup of catering items.
- Prepare, proofread, and distribute reports, memos, and presentations. Maintain accurate records and filing systems
- Accurately input and update information into databases or spreadsheets. Generate reports as requested
- Assist in planning and organizing team events, meetings, and conferences
- Provide support on special projects, ensuring timely and efficient completion of tasks
- Greet visitors and clients, ensuring they feel welcomed and directed to the appropriate resources
- Performs any other duties assigned
- Adheres to internal standards, policies, and procedures
QUALIFICATION REQUIREMENTS
- Associate's degree preferred
- 2+ yrs, experience in an administrative role, preferably in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with office equipment and tools
- Excellent verbal and written communication skills
- Strong attention to detail and ability to prioritize tasks effectively
- Resourceful, with the ability to anticipate needs and address challenges proactively
- Discretion in handling confidential information and ability to work collaboratively with diverse teams
- Ability to work with moderate supervision and maximum efficiency in a small or medium size office setting
- Notary Public certification is preferred. Candidates without certification must be willing to obtain it within [90 days] of hire
- Strong interpersonal, customer service and communication skills
