We store and deliver more than 4,000 food items to meet the needs of our customers across 27 states and 28 states internationally. Location: Alachua, FL

Schedule: Monday-Friday 8 am -5 pm

Job Summary:

The Administrative Assistant is responsible for providing comprehensive administrative support to the Operations and Transportation Team. This role involves managing a high volume of calls, scheduling meetings, handling information requests, and performing various clerical functions. The Administrative Assistant will support multiple members of the Management Team as needed.


Essential Functions:

Administrative Support:

  • Maintain appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Provide general administrative and clerical support, including managing phones, visitors/clients, mail, scanning, faxing, copying, data entry, and filing.

Customer Interaction:

  • Skillfully manage incoming calls, emails, and messages, efficiently directing them to the appropriate personnel to ensure prompt responses.
  • Act as the initial point of contact for visitors, customers, and internal staff, creating a positive and lasting first impression.
  • Uphold the professional image of the company by ensuring the reception area is consistently clean, organized, and presentable.

Cross-functional Collaboration:

  • Coordinate meetings, conference room bookings, and out-of-office calendars, ensuring seamless scheduling and organization.
  • Facilitate the procurement of flowers, gifts, and meals for other departments by providing assistance in the ordering process.
  • Serve as the designated evacuation point person responsible for implementing and overseeing safety protocols during emergencies.

Reporting and Analysis:

  • Provide essential administrative support to the organization, contributing to the smooth execution of daily tasks and projects, including scanning invoices/paperwork and handling outbound checks.
  • Manage the flow of incoming and outgoing mail and packages, maintaining an organized system for efficient distribution.

Requirements:

  • High school diploma or equivalent required.
  • 0-3 years of phone administration experience required.
  • Ability to travel occasionally for customer/office visits.
  • Bilingual Preferred.
