Position Title: Administrative Assistant

The Joint Staff Security Office (JSSO) supports an operational environment that ranges from unclassified through the Top Secret (TS)/SCI level. These divisions provide various security services that include, but are not limited to, managing personnel clearances, in/out processing of personnel, SCI Facility (SCIF) management and accreditation, collateral space management and designation, protection of classified information, security oversight and inspections, managing security violations/deviations, classification management, marking, and safeguarding, Contract Security Classification Specification DD-254 management, and Security Education and Training.

Administrative Assistant provides security administration support to the JSSO including: document and records management, tasking management support, office management support, executive support and SharePoint management.

Location: JSSO North (Pentagon and the Mark Center, Alexandria, VA)

Security Clearance Level: Top Secret/SCI eligible

Duties and Responsibilities

Provide security administration in support of the JSSO:

  • Document and Records Management: support the planning, development, and maintenance of a user-friendly, effective file system compliant with JS regulations; ensure proper disposition of all permanent and temporary paper records; maintain the JSSO file plan and records disposition schedule, conduct annual records inspections, and provide reports to the Deputy Director, JSSO; draft and update appointment memorandums for designated security positions and maintain record copies for easy retrieval and use.
  • Tasking Management Support: manage the JSSO actions in the JS JSAP task management support by managing tasks going in and out of JSSO; review incoming staff actions for assignment proper JSSO office(s) for action, coordination, or assistance; develop reports, track, and monitor status of actions in progress, and prepare and transmit status reports for JSSO management to ensure actions are completed in a timely manner
  • Office Management Support: prepare supply orders for products or supplies needed in support of the office for approval; coordinate special security requirements such as badge and escort requirements for numerous VIP visits and large numbers of visitors during conferences and exercises
  • Executive Support: support the JSSO Director and Deputy Director, with executive assistance by managing calendar appointments, scheduling, and accepting meeting invitations, taking phone messages, handling customer inquiries, developing management briefings, and providing meeting reports, as necessary
  • SharePoint Management: maintain and update the JSSO SharePoint pages; coordinate with JS knowledge engineers and internal JSSO process owners / stakeholders to ensure all requirements and desired functionality are successfully captured and smoothly implemented in SharePoint

Knowledge and Qualifications

  • Fluent in the English language and have the ability to read, write, and comprehend government documentation
  • Thorough knowledge and demonstrated expertise in using basic Microsoft programs (Outlook, Word, Excel, PowerPoint)
  • Experience with administrative duties (records management, taking phone calls, scheduling appointments, tracking staff actions
  • Experience in working independently on projects requiring research and preparation of briefing charts and other presentation materials.
  • Experience with managing and developing SharePoint pages
  • Minimum of 2 years of related experience.
  • TS/SCI eligible clearance
  • Knowledge and experience providing quality customer service to Government employees, military personnel, contractors, and/or visitors.
