Administrative Assistant - Full Time - Days

Performs various administrative tasks utilizing knowledge of office procedures. Works directly with the SNF Administrator to maintain communication and efficiency in office operation. Works closely with the Director of Social Work, Director of Nursing and Activities Director in carrying out responsibilities related to the interdepartmental functions of the position.


Roles and Responsibilities:

  • Maintains files and ensures the security of confidential information, including daily/weekly census reports, unscheduled PBT reports, resident filing, data entry into SNF Incident Reports, and restraint tracking database.
  • Manages administrative tasks for admissions, discharges, and transfers, including data entry into Meditech, completion of admission packets, creation of resident labels/bracelets, and notifying the ombudsman of unplanned changes.
  • Schedules weekly resident care conference notices and distributes baseline care plans to families and residents in a timely manner.
  • Oversees Medicare certification and recertification tracking, ensuring timely acquisition of physician signatures.
  • Manages the Seneca View referral log, tracks referrals for civil rights compliance, and handles County Department of Social Services notifications (DSS-3559) for changes in Medicaid resident status.
  • Updates the wander system, maintains Point Click Care software, assists with HCS reports, MDS, Apex, and PBJ submissions, answers phones, relays messages, and performs other job-related duties as assigned.

Required Skills and Experience:

  • Associate degree in secretarial science or equivalent education/experience.
    • Appropriate prior administrative assistant experience.
    • Excellent grammar, spelling, punctuation, and formatting skills; adept at interacting with visitors and employees in a friendly and professional manner, including handling difficult situations effectively.
    • Required computer skills and typing ability of 60+ wpm, with experience in creating various correspondence and reports.
    • High initiative with strong problem-solving skills, capable of making rapid decisions and managing details calmly; flexible and willing to work extra hours as needed.

Preferred Skills and Experience:

  • Bachelor's Degree strongly preferred
    • Proven ability to contribute to a team, deliver results on time and within budget, and experience in project management.

Location and Travel Requirements:

  • Onsite - Seneca View Skilled Nursing Facility - 220 Steuben St, Montour Falls, NY 14865
  • Shift: (Mon-Fri) between the hours of 8:00 AM - 6:00 PM

Pay Range Disclosure

  • $20.75 to $24.00 per hour
