Hedgelan Consulting is seeking a skilled Administrative Assistant to support the National Institutes of Health (NIH). The ideal candidate will provide comprehensive administrative and office support, ranging from general clerical duties to more advanced administrative tasks. This position offers an exciting opportunity to contribute to critical NIH initiatives in a professional and dynamic environment.

Responsibilities:

  • Perform clerical duties, including greeting and directing visitors, fielding phone calls, scheduling meetings, and taking minutes.
  • Compose memos, transcribe documents, develop presentations, and generate reports.
  • Monitor invoices, expense reports, and perform data entry and internet research.
  • File, fax, and conduct other general office tasks as needed.
  • Support multiple team members by managing word processing, spreadsheets, and more advanced internet research.
  • Review and disseminate memorandums, manage document control for routing through the office, and prepare purchase requests.
  • Coordinate travel arrangements and input data into NIH travel systems.
  • Compile and manage office equipment requirements (e.g., laptops, printers, monitors) and prepare training requests.
  • Develop tracking tools for reporting data and create matrices for managing office needs.
  • Analyze and prepare written materials for leadership and external inquiries.
  • Exhibit creativity and resourcefulness in solving problems and managing administrative projects.

Qualifications:

  • High school diploma or GED required; a college degree or related experience is a plus.
  • Two (2) or more years of relevant work experience preferred.
  • Proficiency in computer skills, including word processing, spreadsheets, and internet research.
  • Strong communication, organizational, and multi-tasking skills.
  • Familiarity with business administration practices.
  • Government contracting (govcon) experience and/or prior experience with NIH is highly desirable.

  • Proficiency with Microsoft Office Suite and other relevant software tools.

  • Pay range from $21.33 to $38.79/hour, depending on experience
