Memphis Fence Company is seeking a reliable and detail-oriented Administrative Assistant to join our team. In this position you will be responsible for fielding customer requests, finding and reviewing bidding projects listed on various websites and an array of other duties. You will be responsible for finding the projects, reviewing and entering them into the software we use for the various types of bids. You will assist with other tasks required for bidding, project management and anywhere else needed in various departments of the company. This position is a great entry level position into the world of estimating and project management. This position does have opportunity for future growth in the company.

Requirements:

  • Valid Driver’s License
  • High school diploma or equivalent
  • High level of accuracy and attention to detail.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to quickly learn and adapt to new software systems and internal tools.
  • Strong verbal and written communication skills.
  • Must be professional and presentable when interacting with customers or vendors.

  • Must be a positive team player.

  • Must be willing to learn.

  • Must be willing to do things differently than in previous positions.

Duties will Include:

  • Monitor various websites for projects that are bidding.

  • Download all documents for project and upload into estimating software.

  • Update projects as additional information is released.

  • Maintain bid calendars to ensure bid dates are not missed.

  • Assist with project management as necessary.

  • Organize and maintain project files.

  • Assist with purchasing, billing, closeout documents, and other steps as necessary.

  • Answer main phone line and assist customers.

  • Greet and assist walk in customers.

  • Prepare regular reports for management.

  • Any other reasonable duties as directed.

This position will be performed on property Monday – Friday 7:00am – 4:30pm. Occasional travel will be required for out-of-town projects. Applicants would be expected to travel to jobs as necessary for meetings, starting crews, handling issues, etc. Weekend work is rare and would only be required to meet hard deadlines.
