Job Description:
4P Consulting Inc. is seeking an organized and detail-oriented Clerical and Administrative Support Specialist to provide advanced clerical and administrative support to our office operations. The successful candidate will ensure the smooth running of daily administrative functions, supporting both staff and visitors with professionalism and efficiency. This position requires strong organizational skills, attention to detail, and proficiency in handling various office tasks to contribute to the overall success of the team.
Key Responsibilities:
- Mail & Package Management: Oversee incoming and outgoing mail, packages, and deliveries, ensuring accurate distribution to designated recipients in a timely manner.
- Data Entry & Documentation: Perform data entry tasks, updating records, spreadsheets, and databases, while maintaining accurate and up-to-date documentation.
- Office Organization: Take responsibility for maintaining office organization, including filing, photocopying, scanning, and ensuring orderly workspaces for efficient operations.
- Visitor & Guest Reception: Greet visitors and guests with a warm and professional welcome, creating a positive first impression and fostering a welcoming atmosphere in the office.
- Call Management: Independently answer and direct incoming calls to the appropriate individuals or departments, providing assistance and relevant information as required.
- Appointment & Meeting Coordination: Coordinate appointments, meetings, and events, using effective time management skills to support staff and visitors.
- Routine Administrative Tasks: Oversee daily office tasks, such as ordering office supplies, managing inventory levels, and ensuring that all operational needs are met.
- Computer & Office Software Proficiency: Utilize office software applications (such as Microsoft Office Suite) to carry out daily clerical and administrative tasks effectively.
Qualifications:
- Previous experience in a clerical or administrative support role is preferred.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external contacts.
- Strong attention to detail and accuracy, especially in data entry and documentation management.
- Ability to manage office inventory, order supplies, and keep track of office resources.
- A friendly and approachable demeanor with excellent customer service skills.
