We are seeking a dedicated Distribution Center Outbound Administrator to oversee outbound operations, ensure order accuracy, and enhance customer satisfaction through effective communication and service. This role involves managing shipping processes, coordinating with internal teams, maintaining a high standard of customer support, and supporting the seamless flow of orders. The ideal candidate is a detail-oriented multitasker with strong organizational skills, excellent communication abilities, and a proactive approach to customer service.

Primary Duties and Responsibilities:


Outbound Shipping and Warehouse Coordination:


  • Efficiently process all outgoing shipments by generating, verifying, and organizing required documents, including shipping labels, packing lists, invoices, and Bill of Lading paperwork.
  • Confirm accuracy in each shipment’s weight, dimensions, and destination information to meet customer and company standards, minimizing errors and ensuring a smooth delivery experience.
  • Proactively address any documentation inconsistencies by coordinating with internal teams and updating records as needed.
  • Establish and maintain high standards for compliance in shipping for major third-party logistics carriers and customers such as Grainger, Tractor Supply, and Amazon.
  • Implement and follow customer-specific labeling, packaging, and documentation protocols to ensure all shipments meet customer guidelines and avoid penalties.
  • Regularly audit shipping standards for these partners, identifying improvement opportunities and training team members to meet these compliance standards consistently.
  • Utilize cubing and loading strategies to prevent damage, reduce transit costs, and ensure safe unloading at the destination.
  • Collaborate with the Logistics Manager to identify the best carriers based on cost, service quality, and delivery timelines, ensuring adherence to preferred carrier guidelines.
  • Schedule and facilitate the transfer of materials between warehouses when necessary, keeping an open line of communication to manage schedules, inventory availability, and transfer requirements.
  • Function as a liaison between Customer Care, Warehouse Shipping, and Accounting, providing status updates on product availability, identifying potential order defects, and troubleshooting issues to maintain smooth order fulfillment.
  • Ensure all outbound orders meet “on-time shipping” KPIs by actively monitoring shipment schedules, addressing any bottlenecks, and reallocating resources as needed to achieve daily targets.
  • Report daily shipping performance metrics to management, identifying areas for improvement and implementing corrective actions when necessary to maintain high on-time shipping standards.
  • Function as the primary point of contact for Customer Care inquiries related to shipping, order status, and product availability.
  • Provide prompt, clear communication to Customer Care and Sales teams, resolving issues efficiently and maintaining a high standard of service.
  • Monitor key performance metrics and recommend improvements to enhance productivity and efficiency within the shipping and customer care teams.
  • Provide administrative support to upper management by organizing meetings, preparing materials, and handling communication.
  • Manage special projects as assigned, coordinating resources, organizing events, and maintaining deadlines.
  • Adhere to established safety guidelines, ensuring the workspace is organized, safe, and compliant with 5S housekeeping standards.
Requirements:


  • Must be able to work effectively in a team-oriented environment.
  • Quick learner, capable of adapting to new processes and working with various team members during the training period.
  • Proven, stable work history within a fast-paced Logistics/Distribution environment.
  • Ability to handle pressure and manage time effectively.
  • Willingness to work overtime as required.
  • Familiarity with truck loading by mode is desirable.
  • Capable of leading and managing warehouse personnel to ensure efficient shipping, receiving, and storage practices.
  • Associate’s degree in business operations or similar field; computer literacy preferred.
  • Minimum of four years of experience in a warehouse or shipping environment, or equivalent experience, preferred.
