The Receptionist/Medical Records Clerk is an in person role in our main Clearwater office, and will serve as the first point of contact for clients and visitors, managing the firm's front office and playing a vital role in supporting both the pre litigation and litigation teams. This position involves a combination of reception duties and handling pre and post accident medical records. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to handle sensitive information with discretion.

Responsibilities

Client interaction: Greet clients and visitors courteously and professionally; Answer all incoming calls including those not in the intake call tree, and direct them to appropriate staff member. Schedule appointments and managing firm's calendar; Provide information to clients and potential clients about the firm's services.

Administrative support: Maintain and organize a tidy reception area; handle mail distribution and courier services; perform general administrative tasks such as filing, data entry, and scanning; mail out checks as needed; organize team lunch meetings.

Medical Records Custodian: Communicate with clients about their medical histories; Input and update client medical history in case management software; Request, collect, rename, and save pre and post-accident medical records for pre-litigation and litigation teams; Maintain organized records and billing and ensure properly saved to all client projects. Maintain and update Ciox, Sharecare, and third-party vendor medical record collection dashboards.

Technical Tasks: Utilize office software (Filevine, Outlook Email, Slack) efficiently. Maintain confidentiality of all client and firm information.

Qualifications

Experience:
•Previous experience as a receptionist or in a similar medical record clerk role required
•Experience in a law firm, particularly in personal injury law (preferred)
•Familiarity with case management software - Filevine (preferred)
•Experience in handling medical records (preferred)
