Salary:
$45,000 - $60,000 (dependent on experience)
Receptionist
We are seeking a customer-focused individual to work in a busy law firm. The receptionist is responsible for ensuring the front lobby is clean and organized and providing friendly service to clients and visitors. This person is the ambassador for first impressions at the firm through phone and in-person interaction. The firm has shown exponential growth over the past few years and this position is an opportunity for someone to grow in their career. We provide training and a supportive and collaborative work environment.
Responsibilities and Duties:
- Answer all incoming calls to the office on the main line
- Greet clients, visitors, and advisors
- Submit elevator tickets to the Irvine Company for clients to have access to the floor
- Update the Reception Reference Notebook as needed
- Update employee contact and department lists as needed
- Track timing of carpet and glass tabletop cleaning schedule
- Schedule meetings in conference rooms and display meeting signs for each client meeting
- Responsible for ordering and stocking items from Costco order
- Any other daily task that may arise to ensure lobby operations run smoothly and the firm displays an exceptional first impression
- Log incoming packages and deliveries and notify the listed employee/department
- Ordering, tracking, and managing all staff lunches every week
- Ordering, tracking, and managing lunches for client and internal meetings
- Log client and internal lunch meeting receipts
- Submitting maintenance requests when needed
- Ordering and logging of the front desk cookie order
- Train staff who cover for reception
- Provide backup support to the office assistant
- clean the up-front conference room tables before and after each meeting
- keep barista bar and lobby areas organized, clean, and freshly stocked
- make coffee daily and clean coffee machines as needed
- daily cleaning and stocking of kitchen
- All other duties as assigned
Job Requirements:
- 1-year experience in a law firm or office environment with proven reliability
- Excellent administrative, verbal and written communication skills
- Strong customer service skills
- Effective organizational skills and must have the ability to multi-task
- Accurate typing and prior exposure to MS Office programs
- High level of accuracy and attention to detail
- Ability to operate computers, photocopiers, scanners, and fax machines
- College degree is preferred
Physical Requirements:
- Ability to lift and carry 30 pounds
- Frequent standing and walking
- Sitting for up to four hours at a time
- Bending and stooping as needed
