Job Description
We are offering an employment opportunity for a Staffing Coordinator in Allentown, Pennsylvania. This role primarily involves providing clerical and administrative support to a staffing team and hiring managers, with a focus on processing applicants, managing schedules, and ensuring a positive experience for all involved throughout the staffing and new permanent process. This role will be hybrid, with 3 days in office and 2 days work from home.
Responsibilities:
• Provide administrative support related to all aspects of the staffing process, including job postings, interview scheduling, pre-employment assessments, on-boarding, and job requisition management.
• Implement improvements to work systems and processes that enhance staffing efficiencies, standardize work, and ensure data entry consistency.
• Administer EEI pre-employment assessments in accordance with program standards and requirements.
• Ensure timely and proper completion of pre-employment screening (drug/alcohol, background, employment reference, and motor vehicle checks), and promptly communicate any issues to HR Managers or Staffing Specialists.
• Oversee the new permanent on-boarding process, ensuring all relevant information is completed by new permanents within necessary time frames.
• Deliver a positive customer experience in interactions with candidates and internal clients.
• Maintain I-9 compliance of all new permanents and complete timely entries into E-Verify.
• Keep job requisition, new permanent testing, and other files organized and detail oriented.
• Support external recruitment initiatives, including registering for career fairs, job postings, coordinating outreach activities, and tracking outreach activities.
• Complete special projects and other assignments as directed.
• Proficiency in Customer Service, able to provide excellent service to both internal and external clients
• Skill in Data Entry, capable of maintaining accurate records and databases
• Proficient use of Microsoft Excel, Word, PowerPoint, and Outlook
• Ability to follow Procedures and ensure Compliance with company and legal regulations
• Experience with Scheduling, including coordinating staff schedules and managing calendar appointments
• Understanding of Hiring Processes, from job postings to onboarding
• Familiarity with Check Processing, ensuring accurate and timely payment
• Ability to perform Clerical Duties, such as filing, answering phone calls, and maintaining office supplies
• Experience in Staffing, including recruitment and placement of staff
• Interest in Process Improvement, continuously seeking ways to streamline and improve work processes
