Publishing firm based on Long Island is seeking a dynamic, creative, and collaborative Generalist to join our People and Culture team. This is a remote position open to candidates located in NY, NJ, CT, MD, VA, PA, MA, RI, or Washington, DC, as occasional travel to New York for meetings a few times a year is required.

The ideal candidate has 4+ years of Generalist experience managing key operational and administrative functions while providing exceptional support to employees across the organization.

The position is paying up to $85K and the company is looking to hire ASAP!

Key Responsibilities:

Employee Support:

  • Act as the first point of contact for employee inquiries, providing general information and liaising with the payroll and benefits teams to address questions.
  • Respond to general FMLA inquiries and assist employees and managers in working with the benefits team and external vendors.

Onboarding:

  • Conduct new hire orientation.
  • Oversee the administration of the onboarding process and serve as a point of contact for new hires and hiring managers, addressing any questions or concerns.
  • Train new hires on People and Culture platforms, including Lattice and ADP eTime.

Documentation and Compliance:

  • Manage workflows for People and Culture programs (such as Employee Referral Program, Tuition Reimbursement, Anniversary, Birthday, and Rewards and Recognition), ensuring timely processing in alignment with policy and payroll deadlines.
  • Accurately complete unemployment claims and verifications of employment.
  • Maintain the People and Culture intranet page.
  • Oversee the invoice process.
  • Monitor and audit training completions.
  • Create and distribute surveys using Microsoft Forms and SurveyMonkey.

ADP, Greenhouse (ATS), and Shared Drive Maintenance:

  • Manage electronic employee paperwork and ADP files, ensuring a confidential and organized filing system that complies with regulations, including I-9 and New York State-mandated requirements.
  • Perform data entry in ADP Workforce Now, including new hires and employee changes.
  • Generate reports from ADP.
  • Schedule screenings through Greenhouse (ATS).
  • Maintain the People and Culture shared drive.

Requirements:

  • Bachelor’s degree required.
  • 3-5 years of experience in HR administration.
  • 3+ years of experience with ADP Workforce Now for data entry and record lookup.
  • 2+ years of experience with Greenhouse or other ATS platforms preferred.
  • Familiarity with answering general FMLA inquiries is a plus.
  • Strong knowledge of recruitment practices, employment laws, and policies.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Comfortable with ambiguity and adapting to change.
  • Ability to work independently and collaboratively.
  • Strong judgment and decision-making skills.
  • Collaborative and consultative approach to work.
  • Capacity to manage competing priorities and multiple projects simultaneously.
