POSITION SUMMARY:
The HR Generalist is responsible for supporting the day-to-day operations of the Human Resources Department. Responsibilities include providing HR support and guidance to VOADV’s 40+ programs and management, with particular focus on recruitment, benefits, leave administration, compliance reporting, performance management, and policies and procedures.
PRIMARY RESPONSIBILITIES:
- Interacts and communicates (verbally and nonverbally) with all clients, staff, and outside contacts professionally with respect and courtesy;
- Maintain client and staff confidentiality in compliance with administrative policies and procedures. Maintain confidentiality and protect the integrity human resources personnel data;
- Process all new hire paperwork, including background checks, I-9 requirements, etc;
- Maintain and process benefits enrollment materials on a monthly basis for new employees;
- Manage all of VOADV’s employees’ benefit plans, including the annual “Benefits Open Enrollment” activities and training sessions. Work with benefit consultants throughout the year to schedule benefits meetings and create communication materials for employees;
- Prepare and submit annual renewals for FSA and COBRA benefits. Resolve employees’ issues with their FSA and COBRA benefits;
- Maintain and coordinate the 403(b) plan. This includes: employees’ inquiries, annual audit and filing reports.
- Coordinate and process leave of absence (LOA) paperwork in a timely manner. Serve as the primary point of contact for all LOA requests, such as: FMLA, personal, military, workers’ compensation. Maintain compliance with federal and state requirements and VOADV policies and procedures;
- Maintain all confidential and sensitive files, including medical information;
- Manage and coordinate workers’ compensation claims with third-party administrator. Follow-up on claims activity, including light-duty and return-to-work claims. Participate in quarterly claims review with workers’ compensation carrier and administrator;
- Work with the Payroll Department to ensure that employees’ information is entered correctly in the HRIS system and that all employee changes (salary, LOA’s, etc.) are sent to Payroll in a timely manner via the voa2 form;
- Manage the report filing of mandated federal and state reports (Affirmative Action, EEO, etc.).
- Participate in regularly scheduled staff meetings, conferences, and training sessions, when required;
- Assist the HR team in special projects and in expanding and improving HR services. These efforts may include: Talent Management, Diversity, Benefits, Professional Development programs, and Wellness/Safety;
- Perform other duties as assigned.
PHYSICAL REQUIREMENTS:
- Regularly required standing, walking, sitting, using hands to handle or feel, reach with hands and arms, climb stairs, talk, hear, and smell.
- Ability to lift up to 15 pounds at times.
QUALIFICATIONS:
- Bachelor’s degree preferred in Human Resources or Business, an Associate’s degree is required or relevant work experience in the HR field;
- A minimum three (3) years HR Generalist experience with strong knowledge in benefits plans, completing state and federal reports;
- Experience in handling highly confidential materials and issues;
- Maintain professional behavior with all levels of employees and management;
- Demonstrate excellent customer service, oral and written communication skills;
- Detailed-oriented, strong follow-up skills, and can work independently and as a team;
- Knowledgeable of state and federal employment laws and compliance mandates (FMLA, STD, ADA, workers’ compensation);
- Intermediate Microsoft Office skills;
- SHRM, HRCI, and other HR-related certification(s) a plus;
- Must have a valid driver’s license;
- Bilingual is a plus.
