ABOUT THE ROLE
We’re looking for an experienced Executive Assistant to support our founding team. As the first hire in this role, you’ll provide essential administrative and operational support to help our growing team run smoothly. You'll manage San Francisco office duties, help facilitate new hire onboarding, support team travel logistics, assist with scheduling, and own a range of high-level administrative tasks. This role requires someone organized, detail-oriented, and able to prioritize in a fast-paced, dynamic environment.

THE RESPONSIBILITIES

As a fast-growing team (45 employees and counting), we expect the responsibilities of this role to evolve over time. Here are some of the areas where you could have an immediate impact:

  • New hire onboarding: Order laptops, send swag, and provide building access for new hires. Coordinate onboarding trips for remote employees and set up new accounts and devices.

  • Travel and offsite coordination: Book team dinners, travel, and organize company-wide offsite events twice a year. Streamline travel-related expenses.

  • Scheduling: Assist with scheduling board meetings and managing the calendars of the CEO and CTO.

  • Office management (San Francisco): Manage office operations, including furniture, equipment, snacks, and building access. Support SF-based marketing events. Scale solutions for office expansion and lunch programs as we grow.

  • Finance and legal: Pay bills, manage invoices, enforce corporate card policies, and collect 1099s from vendors. Organize financial and legal documents.

  • Security and compliance: Ensure company-wide compliance with security protocols like Drata.

THE REQUIREMENTS

  • 3+ years of experience as an Executive Assistant or Office Manager, preferably in a fast-paced startup environment.

  • Strong organizational skills with the ability to multitask and prioritize.

  • Detail-oriented with the ability to anticipate the needs of executives and the team.

  • Proactive, adaptable, and able to thrive in a rapidly changing environment.

  • Excellent verbal and written communication skills.

  • Proficiency in Google Workspace, Slack, and other collaboration tools. Familiarity with finance tools like Ramp and compliance software like Drata is a plus.
