ABOUT THE POSITION

Key Responsibilities

  1. Manage and organize a fast-paced set of activities for multiple calendars, focused on the Executive Director and Deputy Director, including:
    1. Full calendar support for competing priorities (booking internal and external meetings, coordinating with partner organizations and grantees)
    2. Booking travel arrangements and other travel-related expenses
  2. Handle highly confidential and non-routine information with the highest levels of professional standards and attention to detail
  3. Provide support for Client’s philanthropic events, including managing vendor contracts, on-site logistics, catering, and other logistics support as needed
  4. Support Tempest Advisors' organization budget process, grant recommendation and production process, annual planning, professional development, and speaker series
  5. Manage accounts payable and vendor relationships
  6. Produce professional, accurate, and polished documents generated or required by staff members in a timely manner; create and develop visual presentations as needed
  7. Professionally and hospitably greet guests of Tempest Advisors, supporting guests as required
  8. Manage logistics of staff and client meetings
  9. Manage monthly expense reporting for the Tempest Advisors team
  10. Provide backup support for Tempest team, including other executive assistants, and liaise with suite-wide administrative staff and leadership to ensure seamless inter-office communications and share administrative duties as assigned
  11. Maintain accurate and current electronic and paper files and keep the office organized and operating effectively and efficiently as well as set up systems to enable effective operations
  12. Conduct, synthesize, and report on basic research as required by the staff
  13. Manage special projects and other duties as assigned

Qualifications

  1. At least five years of executive assistant experience
  2. Highest level of integrity, ethics, and professionalism
  3. Excellent judgment and professional maturity
  4. Adept at managing multiple calendars encompassing very heavy scheduling with competing priorities and frequent changes
  5. Ability to work independently, multi-task, and prioritize to meet deadlines and complete projects
  6. Ability to operate effectively in a fast-paced and multi-faceted environment while maintaining discretion and confidentiality
  7. Excellent organizational skills, including systems to track near-term priorities and long-term projects
  8. Detail-oriented with excellent verbal and written communication skills
  9. Team player with the ability to work and coordinate with team members and assistants to provide seamless support to the team
  10. Ability to operate effectively in response to different management and working styles
  11. Committed to excellent, proactive service to the team
  12. Proficiency with Microsoft Suite and Outlook required; familiarity with Salesforce record management, Expensify, and Bill.com preferred
