Job Title: Executive Assistant to CEO

Location: Wyncote, PA (Cheltenham Township)

Position Overview:The Executive Assistant will be responsible for providing comprehensive support to the CEO and the executive team, ensuring seamless operation of the office and prioritizing the CEO's time and productivity. The ideal candidate is a resourceful self-starter who can think on their feet, maintain high standards, and execute with excellence. This role requires someone who can maintain confidentiality, manage complex schedules, and bring a calm, problem-solving approach to a busy and varied work environment.

Responsibilities:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders, maintaining professionalism and diplomacy.
  • Proactively manage the CEO’s calendar, scheduling meetings, events, and travel arrangements, and prioritizing appointments based on urgency and importance.
  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Conduct research, compile reports, and prepare meeting agendas to ensure the CEO is well-prepared.
  • Act as the gatekeeper for the CEO, screening calls and emails and handling inquiries independently whenever possible.
  • Assist in managing projects and initiatives, ensuring timelines are met and high-quality outcomes are achieved.
  • Organize company events, team meetings, and executive off-sites, taking charge of logistics and ensuring a positive experience for all involved.
  • Work closely with other departments to support company-wide initiatives and foster collaboration.

Requirements:

  • Bachelor’s degree in Business Administration, Communications, or related field (preferred but not required).
  • 3+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong interpersonal and communication skills, with the ability to interact effectively with high-level contacts.
  • Ability to maintain a high level of discretion and confidentiality.
  • Excellent proficiency in Microsoft Office 365, Google Workspace.
  • Strong ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Positive attitude, flexibility, and problem-solving mindset.
